Program Manager, Graduate Advising

The Program Manager for Graduate Advising will oversee, manage and track all phases of student advising for multiple MBA and MS programs within the Haub School of Business. Serving as a primary academic advisor for returning students, the Program Manager plays a pivotal role focused heavily on aligning enrollment management and course scheduling with fiscal and academic objectives. This includes guiding students through course selection and matriculation while closely monitoring course registration to meet enrollment forecasts and financial targets.

The incumbent works with various departments to resolve a myriad of student issues to minimize attrition, and helps produce course schedules that maximize program revenue. Additionally, they ensure compliance with all university policies and deliver high-quality customer service to enhance the overall student experience.

Essential Duties & Responsibilities
  • Serves as the Academic Advisor for students enrolled in graduate programs including, but not limited to:
    Pharmaceutical & Healthcare Business MBA/MS programs, Food Marketing MBA/MS programs, M.S. in Health Administration (MHA), M.S. Health Informatics, MHA/Health Informatics Dual Degree, and M.S. Public Accountancy (MPA) guiding students through class selection and matriculation of all program requirements for graduation.
  • Coordinates with supporting departments (Registrar, Student Accounts, Information Technology etc.) to address students' administrative needs throughout their graduate program experience.
  • Effectively communicate with faculty to ensure that syllabi are provided and Canvas sites are open to students with sufficient time for them to purchase course materials and complete pre-work.
  • Will assist with enrollment forecast and course scheduling for designated programs. Critically important from a fiscal perspective, will monitor the registration of all courses to maintain forecast objective and expected SJU fiscal contributions. Will advise administrative team and department Chairs on producing and updating semesterly course schedules.
  • Support the recruitment/admissions process as needed, coordinating and facilitating acceptance procedures honoring all HSB and AACSB requirements. He/she may work with new students, providing orientations to prepare them for course registration, accessing university portals Nest, Canvas and Zoom, steps for course cancellation/withdrawal, graduation requirements, recommended sequential flow of classes, etc.
  • Collaborates with graduate business staff, GA's and student workers to produce weekly communications.
  • Provides continuous support for communications to students, alumni and associated groups.
  • May advise on marketing efforts and work on the development of all program collateral materials including, brochures, orientation folders, sell sheets, invitations, company-specific initiatives trade show materials, special events materials, etc.
  • May meet with potential corporate partners to recruit new students through on-site events. The expected point of entry for these meetings may be the support of current students, alumni or industry contacts.
Minimum Qualifications
  • Bachelor's degree and 3-5 years of experience in an administrative support role
  • Strong organizational and interpersonal skills.
  • Excellent customer service skills and temperament are critical.
  • Effective presentation skills are a plus.
  • Accountability and the ability to follow a growth agenda are essential.
Physical Requirements and/or Unusual Work Hours
  • Normal physical requirements: walking, standing, sitting, light lifting with care (assistance should be sought if too heavy) of boxed office supplies, etc.
  • Position may require occasional weekend hours in exchange for flex time. Occasional evenings hours as required for student Orientations, Open Houses, and campus events.
Pay Transparency

The estimated pay range for this position is $52,000-$56,225 annually. Offered salary will be commensurate with work experience and educational background.
