Student Records and Systems Coordinator
Reporting to the Associate Director, the Student Records and Systems Coordinator plays a key role in supporting Penn Abroad's student records administration, data management, and operational activities. The role serves as a core part of the inbound Exchange at Penn team, but also collaborates closely with Penn Abroad program teams to support the successful delivery of global learning opportunities for Penn students through a variety of administrative and systems-based functions.
Specifically, this position serves as a primary administrator of the office's study abroad application management system, oversees student application and program records, supports application and registration processes, generates reports, and ensures the accuracy and integrity of data. The position works across multiple University systems to complete its core functions. In addition, the Student Records and Systems Coordinator contributes to the overall operations of the Penn Abroad office by providing broader administrative support as needed, including managing front-line communications, supporting reception area functions, coordinating purchasing processes, and assisting with other office-wide initiatives.
- Administer Penn Abroad's study abroad application management system, and support technology requests related to effective use of the system across teams, accurate data maintenance, and adherence to standard practices and procedures.
- Provide administrative support for global programs, including processing registration and application materials, sharing and transferring information across multiple university systems, and maintaining student records.
- Coordinate reporting and data support for Penn Abroad and partners on- and off-campus by generating recurring and ad hoc reports and preparing enrollment and operational data reports.
- Provide customer service and administrative support, including supporting financial processes and purchasing, managing shared inboxes and serving as backup coverage for the office phones and reception area.

- High School Grad/GE Degree, and 5 to 7 years of experience or equivalent combination of education and experience is require;
Bachelor's Degree preferred. - Strong organizational skills and attention to detail are required.
- Proficiency in working with databases, spreadsheets, and generating reports strongly preferred.
- Experience studying or interning abroad is strongly preferred.
