Student Records Coordinator, GSE Registrar

The Student Records Coordinator will be responsible for handling all Executive-format in-person intensive scheduling and all room reservation requests that come through the reservation system for GSE events, meetings, etc. This position will oversee and work closely with the GSE Facilities on event set up and coordinating with Penn housekeeping and security services to ensure that all spaces are prepared. This position will assist the Registrar with course rostering, classroom scheduling, doctoral hearings, and registration management for the school.

This position will have a key role in the management of GSE's space and support the management of student records. This position will collaborate with many programs and departments across GSE and Penn and will be required to manage multiple requests and competing priorities with the highest degree of professionalism and timeliness. This is a full-time, non-exempt, hourly paid position.

Key Responsibilities

  • Managing room reservations through various systems – Ensuring that all reservations are responded to in a timely manner based on space prioritization. Addressing and resolving complex issues as they arise based on space and managing priorities. Overseeing the GSE's event management applications. Evaluate current processes in place and make necessary adjustments for efficiency and high-quality customer service. Ensuring that the processes and procedures are clearly communicated with the GSE community and adhered to.
  • Support the Registrar with course rostering, classroom scheduling, doctoral hearings, registration management, and other student records data management. Updates the GSE event calendar and bulletin board with hearing/defense dates. Shepherd the doctoral hearing/defense ballots through workflow system, following up with stalled submissions as necessary.
  • Oversee event set up in partnership with GSE Facilities and ensure that all housekeeping and security needs are established prior to the event. Develop systems and protocols to coordinate the resources necessary for GSE events.
  • Assists with the coordination and planning of various department events
  • Maintain student records and provide exemplary customer service to the GSE community. Process enrollment and degree verifications, support the day-to-day operations of the GSE Student Records Office. Interface with students, staff, and faculty to answer questions and assist with challenges regarding course registration, classroom requests and scheduling, and general information requests. While upholding the utmost discretion, provide immediate customer service for a variety of student requests, needs, etc.

Qualifications

  • A High School Diploma and 5 years of experience, or equivalent combination of education and experience.
  • Experience handling sensitive or confidential information
  • Experience managing conflicting priorities/requests
  • Experience working at a higher education institution
  • Experience using a scheduling system
  • Experience resolving complex space issues

Expected Salary Range: $25.48 - $26.92, commensurate with experience.
