Program Coordinator
The Program Coordinator provides administrative and programmatic support to Brain Tumor Center Scientific Director and supports Brain Tumor Center leadership and programs. This position is the key liaison between research coordinators and clinical staff to ensure seamless coordination in all BTC research protocols and is responsible for program procedures, project management, and program development. The Program Coordinator assists with recruitment, BTC meetings, seminar series and events, leadership calendars, equipment purchases, recruitment and travel arrangements.
Job Responsibilities
- Provide dedicated administrative support to BTC, reporting to the BTC Scientific Director and supporting BTC leadership and programs. Interface between and support BTC clinical and research operations, including serving as the key liaison between research coordinators and clinical staff to ensure seamless care coordination for patients participating in research protocols. Additional duties include organizing inpatient clinical call schedules for faculty; organizing, facilitating, and documenting the weekly BTC multidisciplinary tumor board meeting;
and developing and implementing BTC policies and procedures to address specific operational problems and improve patient care delivery. - Manage BTC core facilities and equipment, including coordinating with vendors for installation, maintenance, and repairs; overseeing equipment calendars; ordering and tracking supplies; managing service contracts; and handling billing for both BTC and external users.
- Coordinate the BTC seminar series and events, including scheduling speakers; organizing travel, lodging, and honoraria; managing communications; working with institutional offices; and overseeing event execution.
- Coordinate BTC meetings and leadership activities, including managing complex scheduling for investigators and programs; aligning the BTC Director's calendar; and supporting large-scale grant preparations - P01s, SPOREs, and other multi-investigator initiatives, through meeting organization, document preparation, deadline tracking, and cross-unit coordination.
- Work with the Neurosurgery department Faculty Affairs coordinator for recruitment visits and faculty candidate logistics, including travel, itineraries, seminar scheduling, reimbursements, and overall visit experience.
- Facilitate communication among BTC members by serving as a central point of contact, supporting cross-lab initiatives, and disseminating announcements and opportunities.
- Assist with BTC reporting and operational tracking, including preparation of progress reports, internal reviews, and maintenance of organized records.
- Support special projects and strategic initiatives, including website updates and maintenance.
- Position is contingent upon funding.
Qualifications
- Bachelor of Arts and 2 to 3 years of experience or equivalent combination of education and experience is required.
