Mailroom Technician
This position is responsible for the accurate and efficient receipt, processing, imaging, and distribution of mail and documents within Tru Merit. The role supports specialized operational workflows by ensuring that all incoming and outgoing materials are handled according to established procedures. Responsibilities include maintaining document integrity, supporting digital imaging processes, and contributing to the overall effectiveness of the department through collaboration and adherence to quality standards.
The position operates in a culturally diverse, team-based environment and requires attention to detail, organizational skills, and adaptability to evolving operational needs.
- Receive, sort, timestamp, and batch incoming mail.
- Open, inspect, and prepare documents for imaging.
- Scan documents using imaging equipment/software, ensuring high-quality images are imported into company systems.
- Process documents received via eMedia (syllabi, course descriptions, etc.).
- Edit and quality-check scanned images for clarity and accuracy.
- Ensure scanned documents are successfully transferred to the appropriate platform (SharePoint).
- Maintain a working knowledge of software systems used in operational programs.
- Operate and troubleshoot mailroom and office equipment.
- Document accuracy and location.
- Respond to Quick Base tickets regarding imaging errors and document locations.
- Maintain physical documentation retention and policy.
- Onboard new users to the Digital Credentials Exchange (DCE) when requested by user.
- Perform additional office duties as assigned to support departmental operations.
- Proficiency in PC operation and Microsoft Office Suite; experience with Salesforce is a plus.
- Experience operating document scanning/imaging equipment preferred.
- Knowledge of USPS, Fed Ex, and other carrier operations preferred.
- Familiarity with order/shipping fulfillment software is an asset.
- High degree of accuracy and attention to detail.
- Strong organizational, communication, and problem-solving skills.
- Ability to work effectively in a team-based, production-driven environment.
- Onsite office environment in Philadelphia, PA.
- Team-based, production-driven setting.
- Frequent use of computers and office equipment.
- Ability to move about the office, including stair use, to access files, equipment, and attend meetings.
- Frequent use of computers, including screen viewing, mouse, and keyboarding.
- Ability to move, transport, or reposition files and materials; lift and carry up to approximately 25 pounds independently.
Travel may be necessary for meetings, training, or special projects.
RequiredEducation and Experience
- High school diploma or GED required; some college preferred.
- Experience operating document scanning/imaging equipment preferred.
- Knowledge of USPS, Fed Ex, and other carrier operations preferred.
Other duties may be assigned.
