Business Administrator B, Chemistry Business Office

SAS Finance is seeking a Business Administrator

B. The Business Administrator B will report to the Chemistry Regional Business Office Manager (RBO). This position is an integral member of the Chemistry RBO within the School of Arts Sciences. The Chemistry RBO supports the unique business needs of multiple departments, programs and centers. SAS Finance staff is committed to supporting the academic mission of the School and the University by adding value through our work, finding solutions to operational challenges, and helping to prepare the School for tomorrow.

The Business Administrator B will review and approve all transactions, process weekly and monthly payroll, reconcile accounts and run and prepare reports on a monthly basis. Assist in Grants Management as needed. The successful candidate for the Business Administrator B position will have the ability to work with, and the desire to learn from management and experienced colleagues across SAS.

Job Responsibilities:

  • Review and approve all transactions related to the RBO's financial activities. This includes procurement (Ben Financials), reimbursements (Concur), payment requests (Penn Marketplace), Service Provider Classification requests, Procards, journal entries, and contract invoicing.
  • Manage, process and ensure the timely completion of a wide-range of HR and payroll activities. This includes processing weekly payroll and one-time payments in Workday, running reports, creating job requisitions and completing the onboarding process for new hires. Provide backup to Graduate Student Funding process and monthly payroll.
  • Identify, address, and remedy Financial and HR-related issues, with a focus on compliance, continuous improvement, and client satisfaction.
  • Financial analysis which includes account reconciliation (endowments, gifts, operating and discretionary funds) and preparing and reviewing reports for Faculty and Dept/Program/Centers.
  • Assist in grants management. This includes preparing and entering budget journals upon receipt of the AIS. Monitoring and reviewing expenses and running financial reports.
  • Participates in School-wide and University initiatives.

Qualifications:

  • Bachelor's Degree required plus 2-3 years' related experience or equivalent combination of education and work experience required.
  • Excellent critical thinking, analytical, verbal and written communication is required.
  • Ability to apply solid organizational and time management to a deadline driven, multiple priority work environment is required.
  • Familiarity with UPENN financial and HCM systems (BEN Financials, Business Objects, Concur and Workday) is preferred.
  • Must demonstrate strong customer service skills with the ability to clearly communicate policies to faculty, staff and students.
  • Ability to work in a frequently changing environment and to function as part of a team.
  • Advanced proficiency in Microsoft Excel, Adobe applications and able to quickly learn new software applications is required.

Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, and in alignment with salary ranges based on external market data for the job's level.
