The Construction Administrator supports the successful delivery of Saxbys cafe construction projects by conducting site visits, coordinating with vendors and contractors, and ensuring alignment with Saxbys construction standards. This role serves as an essential support to the Project Architect while developing expertise in managing the complete construction lifecycle.

What You Will Own
  • Site Management:
    Conduct regular site visits independently, create detailed punch lists, document project progress, and identify issues that require escalation or collaborative problem-solving with the Project Architect.
  • Vendor Coordination: Manage day-to-day communication with preferred vendors for owner-supplied FF&E and finishes, track deliveries, and ensure timely procurement of materials.
  • Documentation & Tracking:
    Maintain accurate project schedules, track RFIs and submittals, organize project documentation, and provide regular status updates to the Project Architect and stakeholders.
  • Quality Assurance Support:
    Review shop drawings and equipment specifications, assist with project closeouts, and collaborate with Product, Accounting, and Operations teams to support health department requirements and cafe turnovers.
Who You Will Support
  • Project Architect:
    Provide on-the-ground project intelligence, assist with pre-construction capital estimates, troubleshoot construction challenges, and support strategic construction initiatives.
  • Operations Team:
    Coordinate cafe turnover logistics and communicate project timelines to support operational readiness.
  • Product Team:
    Assist with health department punch lists and equipment specifications to ensure compliance and functionality.
  • Accounting Team:
    Support project budget tracking and vendor payment coordination.

  • 100% of assigned site visits completed on schedule with detailed documentation
  • Zero health department delays at cafe openings
  • All punch lists submitted within 24 hours of site visit
  • Master project schedules maintained with accurate, real-time updates
  • Zero missed vendor deliveries or coordination issues
  • Successful cafe turnovers with Operations team satisfaction ratings of 4.5+ out of 5
Where You Excel
  • Autonomous Problem Solving:
    Independently identify issues on-site and determine when to escalate or collaborate on solutions
  • Detail-Oriented Documentation:
    Maintain meticulous records and communicate project status clearly across teams
  • Proactive Communication:
    Build strong relationships with contractors, vendors, and internal stakeholders through responsive, clear communication
  • Quality Control Enforcement:
    Uphold rigorous standards and attention to detail throughout all project phases
What You Have Done
  • 1-2+ years of experience in construction management, architecture or related field
  • Construction experience in food & beverage industry preferred
  • Demonstrated ability to manage multiple tasks and priorities simultaneously
  • Experience with project management software (Procore, , Airtable, Gantt charts preferred)
  • Working knowledge of construction techniques, terminology and documentation.
  • Bachelor's degree in construction management, architecture, or related field
