Job Description Summary

The Penn Champions Club serves as the Development and Alumni Relations (DAR) arm of the Division of Recreation and Intercollegiate Athletics (DRIA) at the University of Pennsylvania. The Penn Champions Club aims to advance the Division's mission of providing world-class experiences for Penn student-athletes. Our goal is to develop and maintain relationships with alumni, family and friends to secure resources for Penn Athletics' top priorities.

At the core of our daily efforts is the commitment to the holistic development of every student-athlete across each of Penn's 33 varsity sports, and sport club and

recreational participants. We strive to have a positive impact on the experience of current and future student-athletes while creating environments where they can become champions in the classroom, in the community and in competition.

Reporting directly to the Sr. Associate Athletic Director for Development and Alumni Relations, the Assistant Director of Stewardship and Administration oversees all annual, major gift and planned giving stewardship strategies, and volunteer management of DRIA's 19 sport boards and the Penn Athletics Board of Advisors. They will manage gift agreements and gift processing, database maintenance, and general office operations, including hiring and supervision of interns/student workers.

This position will also work with the Director of Development and the Director of Annual Giving to generate reports and analytics to assess and improve fundraising initiatives. Success in this role will require establishing and maintaining direct contact and strong relationships with donors, Advisors, the DAR community and DRIA staff.

Job Description

+ Create and implement stewardship strategies and materials for the Penn Champions Club annual fund, major gifts program, and planned gifts (Penn Athletics Legacy Circle) that integrate and enhance frontline fundraising efforts.

+ Manage all aspects of the Penn Athletics Board of Advisors (and volunteers for any University-wide campaign), including on-boarding/off-boarding, arranging meetings, drafting/distributing materials, drafting/sending correspondence, facilitating and tracking engagement between the Athletic Director and individual Advisors, etc.

+ Collaborate with the Penn Champions Club Associate Directors (Major Gifts Officers) and Assistant Directors on sports board management, including on-boarding/off-boarding, arranging meetings, drafting/distributing materials, drafting/sending correspondence, etc.

+ Serve as the gift processing coordinator and liaison between the Penn Champions Club and the Office of Gifts Planning. Responsibilities include managing the gift agreements process, gift transmittals, gift adjustments, reminders, and gift receipts; and interacting with University-wide colleagues to effectively process wire transfers and securities gifts.

+ Effectively use and maintain the University's internal donor database (Compass) to manage information regarding alumni and friends, partner with Central DAR and support frontline fundraisers with data mining and ongoing analysis of prospect pool and annual giving patterns, and work with the Director of Development and the Director of Annual Giving to generate reports and analytics to assess and improve fundraising initiatives.
