CMMS Specialist – Reliability & Maintenance Optimization Program
Efor is seeking a CMMS Specialist to support a large-scale Reliability, Maintenance, and Instrumentation Optimization Program at a major pharmaceutical manufacturing site in Pennsylvania. This program focuses on improving maintenance execution, preventive maintenance strategies, calibration governance, asset lifecycle management, spare parts optimization, and CMMS data integrity across manufacturing, utilities, infrastructure, and engineering systems.
The CMMS Specialist will play a key role in ensuring that maintenance, calibration, asset, and spare parts data are accurately structured, maintained, and optimized within the site's CMMS. This role supports Reliability Engineering, Maintenance & Engineering, Instrumentation, and Asset Management teams by improving the quality, consistency, and usability of CMMS data to enable sustainable maintenance performance and compliance.
Key Responsibilities- Support the creation, update, and optimization of CMMS records, including assets, functional locations, preventive maintenance plans, calibration activities, task lists, spare parts, and material master data.
- Partner with Reliability Engineers, Maintenance, Instrumentation, and Engineering teams to ensure CMMS data accurately reflects site equipment, instrumentation, utilities, infrastructure, and manufacturing assets.
- Assist with the implementation of risk-based maintenance and calibration strategies within the CMMS.
- Review and improve preventive maintenance and calibration frequencies, job plans, work instructions, and asset data based on reliability, criticality, and compliance requirements.
- Support long-term asset planning by ensuring asset lifecycle data, condition information, and replacement planning inputs are captured and maintained in the CMMS.
- Contribute to spare parts and inventory optimization by supporting material master data accuracy, functional equivalence, min/max settings, and critical spare identification.
- Identify and correct CMMS data gaps, inconsistencies, duplicates, obsolete records, and non-value-added maintenance activities.
- Support the development of reports, KPIs, dashboards, and data extracts related to maintenance performance, calibration compliance, asset reliability, spare parts, and cost optimization.
- Ensure all CMMS updates are performed in alignment with site quality, compliance, change control, and documentation requirements.
- Participate in program governance meetings and provide updates on CMMS-related progress, risks, issues, and action items.
- Experience supporting CMMS systems in a GMP, pharmaceutical, biotech, vaccine, or regulated manufacturing environment.
- Strong understanding of maintenance master data, preventive maintenance, calibration records, asset hierarchy, functional locations, equipment records, task lists, and work order management.
- Experience with reliability-centered maintenance, risk-based maintenance, calibration optimization, or asset lifecycle management preferred.
- Familiarity with spare parts, material master data, inventory governance, and functional equivalence is a strong plus.
- Ability to work cross-functionally with Maintenance, Engineering, Reliability, Instrumentation, Quality, and Operations teams.
- Strong data analysis, documentation, and problem-solving skills.
- Experience with SAP PM, Maximo, Blue Mountain RAM, or similar CMMS/EAM platforms preferred.
- GMP documentation and compliance awareness required.
- Background in Maintenance Engineering, Reliability Engineering, Instrumentation, Calibration, Asset Management, or CMMS Administration.
- Experience supporting site-wide reliability, maintenance optimization, or digital maintenance improvement programs.
- Knowledge of pharmaceutical manufacturing equipment, utilities, instrumentation, and facility systems.
- Ability to translate technical maintenance requirements into structured CMMS data.
- Strong Excel/data management skills;
Power BI or similar reporting tool experience is a plus.
The ideal candidate is hands-on, structured, detail-oriented, and comfortable working with large volumes of technical maintenance and asset data. This person should be able to bridge the gap between field maintenance requirements, reliability strategy, and CMMS execution — helping build a sustainable, compliant, and optimized maintenance program at a leading regulated manufacturing facility.
