Recruiting Coordinator
We are seeking a Recruiting Coordinator to join our team in Philadelphia, PA. This role is ideal for candidates with strong experience in scheduling, workforce coordination, and administrative support. While direct recruiting experience is not required, candidates with coordination and scheduling skills within a recruiting environment are highly desirable.
Responsibilities- Conduct integral tasks on the Talent Acquisition team, supporting full-life cycle recruitment activities.
- Build relationships with candidates, hiring managers, and business lines, often providing the first impression of the company.
- Manage multi-tasking, detailed decision-making, and strategic focus in supporting business and recruitment requests.
- Accomplish candidate outreach, assist recruiters, and complete interview scheduling, including complex travel arrangements.
- Coordinate candidate relocation and partner with business lines to forecast requisition submissions.
- Organize the first step of the recruitment process, including intake of submittals and creation of requisitions.
- Partner with vendors to ensure SLAs are honored and troubleshoot discrepancies.
- Manage timeliness with coordination, communication, and review of requisition and candidate status.
- Provide excellent customer service with a strategic focus, adhering to standard operating procedures and regulations.
- Independently manage and organize activities to support Talent Acquisition and business lines.
- Act as a liaison with recruiters, hiring managers, project managers, executive admins, and candidates.
- Partner with business line contacts to assist with requisition submission and approval process management.
- Welcome candidates and hiring managers to the candidate/hiring manager experience and greet them on interview days.
- Own interview scheduling, organizing, prioritizing, and accommodating complex interview requests.
- Assist with travel logistics and prepare interview packets.
- Engage in outreach to diverse groups to build a diverse workforce.
- Track and monitor requisition forecasting and manage recruitment strategy meetings.
- Set expectations, review job descriptions, and create job postings in Success Factors/SAP.
- Schedule intake meetings, partner with recruiters for sourcing, and oversee requisition assignments.
- Work with external job boards and sources for candidate engagement.
- Schedule, facilitate, and grade approved testing based on job requirements.
- Create offer/rejection letters and ensure high-quality standards for all activities.
- Pull data and metrics to produce scorecards and reports.
- Partner with external vendors to ensure SLAs are met and manage discrepancies.
- Update the Applicant Tracking System and ensure timely requisition closure.
- Maintain compliance with EEO and related employment laws and regulations.
- Assist with ad hoc tasks, including issue resolution and invoice assistance.
- Bachelor's Degree or equivalent combination of training, education, and relevant experience.
- Experience in Recruitment, HR, Customer Service, or business support.
- Strong organizational skills with the ability to prioritize and accomplish goals independently.
- Resourcefulness, anticipating needs, and taking initiative.
- High attention to detail and follow-up skills.
- Ability to handle highly confidential material professionally.
- Knowledge of business process improvements.
- Ability to re-prioritize based on changes in business needs.
- Superior time management skills.
- Ability to multi-task in a fast-paced, high-volume environment.
- 3 years of relevant experience.
- Experience using applicant tracking systems.
- Knowledge of federal, state, and local laws affecting recruitment.
- Business acumen and management of business support activities.
- Recruitment experience including interview scheduling and phone screenings.
- Experience managing external vendors and understanding EEO/AA/OFCCP guidelines.
- Familiarity with SAP or similar software.
- Experience with recruitment metrics.
- Project management/process management experience.
- Advanced social media and technology networking capability.
- Exceptional communication skills, both written and verbal.
- Presentation skills.
- Ability to exercise sound judgment and discretion.
- Operational adaptability to meet sudden needs.
