Project Coordinator for CNB Application Management

As part of the Department of Psychiatry, the Neurodevelopment & Psychosis Section, the Lifespan Brain Institute (LiBI), and the Brain Behavior Laboratory (BBL), we are devoted to the study of brain and behavior throughout the lifespan. The Penn Computerized Neurocognitive Battery (CNB) is a platform for remote administration of neurocognitive testing that is deployed worldwide (and outer space), with over 1,000 registered users deploying implementations in over 20 languages.

The CNB team is seeking a motivated graduate to join us as a Project Coordinator. This is an excellent opportunity for someone eager to build a career in project management within a Scrum environment, supporting the delivery and ongoing operations of the PennCNB Application — a web-based and tablet-administered tool for assessment of neurocognitive and behavioral functioning used globally in genomic and clinical studies of various neuropsychiatric disorders.

The Project Coordinator will function as part of a multidisciplinary team, reporting directly to the Operations Lead under the supervision of Dr. Ruben Gur. The position supports researchers and investigators both within the section and globally. Core responsibilities span workflow optimization and support, client and product management, iLabs billing, project coordination, and administrative support across the software development lifecycle.

Primary responsibilities include, but not limited to:

  • Lead daily stand-up meetings and facilitate sprint planning, sprint reviews, and retrospectives
  • Support the project team in coordinating tasks across the software development lifecycle (SDLC)
  • Help manage project timelines, track progress, and remove roadblocks to keep delivery on schedule
  • Continuously improve team processes through structured retrospective feedback

Client & Product Management

  • Serve as liaison for CNB project clients, including information gathering, negotiation of project scope, account setup, battery configuration, and documentation
  • Ensure effective and timely communication with clients needing customer or technical support throughout the project lifecycle
  • Build and maintain detailed documentation for projects, users, and tests
  • Coordinate administrative and technical support across internal teams and external institutions

Billing & iLabs Administration

  • Handle billing data entry into iLabs for client projects
  • Ensure accurate record-keeping and timely invoicing aligned with project milestones
  • Coordinate with the Operations Lead to reconcile billing records and resolve discrepancies

Training & Documentation

  • Maintain the online CNB training platform with updated materials and new feature documentation
  • Provide feedback on mock video sessions from trainees and deliver in-person training as needed
  • Establish and maintain all necessary SOPs and documentation related to CNB project management

Additional Responsibilities

  • Assist with data management and data requests
  • Administer the CNB to research subjects as a backup for section studies
  • Assist the Dev Ops Team in delivering new features and debugging as needed

Qualifications

Bachelor's degree in business, Information Technology, Computer Science, Clinical Psychology, Biomedical Science, or a related field and 2-3 years of experience or equivalent combination of education and experience is required. Recent graduates are encouraged to apply. Strong communication and interpersonal skills, including comfort working with both technical teams and non-technical stakeholders, is essential. Good understanding of or demonstrated interest in the software development lifecycle (SDLC) and Agile/Scrum methodologies (prior exposure through studies, internships, or projects is a plus).

Must be detail-oriented with excellent organizational and multitasking skills. Ability to work in a multidisciplinary team, facilitate meetings, and support training activities. Experience working with iLabs or similar billing/service-center platforms is preferred but not required.
