Exentec is seeking an Accounting Administrator to support multiple business units within a high‑tech, capital‑equipment design and manufacturing environment. This role combines accounting operations and administrative support, contributing to the organization’s overall efficiency and performance.
Explore your tasks and responsibilities- Partnering with the Controller to support business units and department leaders in achieving company goals, including the development of tools and reports to monitor overall business performance.
- Performing routine Accounts Receivable (AR) and Accounts Payable (AP) processing, including tracking and following up on outstanding invoices.
- Monitoring and managing expense reimbursements, office supply purchases, and utility invoices.
- Collecting and maintaining accurate production labor hours to support performance analysis and payroll processing.
- Managing and maintaining non-disclosure agreements (NDAs) and other customer and supplier contracts.
- Printing and releasing manufacturing job documents and inventory audit checklists.
- Initiating and organizing customer project electronic files and documentation.
- Coordinating visitor meetings, greeting guests, and serving as the primary point of contact for incoming calls.
- Providing general administrative support as needed.
- Other duties as assigned.
- High school diploma or equivalent required
- Bachelor’s degree in Accounting, Finance, or a related field preferred
- 1–2 years of accounting or related experience preferred
- Experience with Accounts Receivable, Accounts Payable, and collections is a plus
- Prior bookkeeping experience preferred
- Experience with Global Shop ERP or similar systems is a plus
- Strong relationship‑building skills with a focus on maintaining positive, long‑term partnerships
- Basic understanding of general ledger (G/L) accounting and/or inventory processes in a manufacturing environment (preferred)
- Strong analytical skills with the ability to manage and interpret complex information
- Proficiency in ERP systems and Microsoft Office (Excel, Word, Outlook)
- Excellent customer service skills, including active listening and communication
- Strong teamwork and collaboration skills
- Excellent problem‑solving abilities and attention to detail
- Flexibility to work overtime, holidays, or off‑shift hours as needed to support business requirements
