Key Responsibilities Process a high volume of vendor invoices accurately and efficiently. Match purchase orders, invoices, receipts, and subcontractor documentation. Verify coding and obtain appropriate approvals before processing payments. Prepare and process weekly check runs, ACH payments, and wire transfers. Reconcile vendor statements and resolve discrepancies in a timely manner. Maintain accurate vendor files, including W-9s, insurance certificates, and payment information.
Assist with subcontractor compliance documentation and lien waiver tracking. Communicate with vendors, project managers, branch administrators, and internal departments regarding invoice status and payment inquiries. Ensure invoices are entered in accordance with company policies and accounting procedures. Assist with month-end closing activities, account reconciliations, and reporting. Support audits by organizing and providing requested documentation. Maintain confidentiality of financial information. Perform additional accounting and administrative duties as assigned.
Qualifications High school diploma or GED required;
Associate's degree in Accounting, Finance, or Business preferred. 2 years of Accounts Payable experience, preferably in construction or commercial roofing. Experience processing high-volume invoices. Knowledge of general accounting principles and AP best practices.
Experience with ERP/accounting software (Vista/Viewpoint, Sage, Foundation, Net Suite, or similar systems preferred). Proficient in Microsoft Excel, Outlook, and Microsoft Office. Strong organizational skills with exceptional attention to detail. Excellent communication and customer service skills. Ability to prioritize multiple deadlines in a fast-paced environment. Self-motivated with strong problem-solving abilities.
Preferred Qualifications Experience in the commercial roofing or construction industry. Familiarity with purchase orders, job costing, and project accounting. Experience managing subcontractor documentation and lien waivers. Understanding of sales and use tax requirements.
Physical Requirements Ability to sit for extended periods while working at a computer. Occasionally lift up to 20 pounds. Ability to perform repetitive keyboard and data entry tasks.
