Trust Coordinator

Womble Bond Dickinson (US) LLP is seeking a Trust Coordinator in our Phoenix, AZ office. The Trust Team Coordinator supports the daily administration, accuracy, and control of the firm's trust accounting function. This role assists with trust account activity, reconciliations, documentation, disbursement coordination, and inquiry resolution to help ensure client funds are handled accurately, timely, and in accordance with firm policies, client requirements, and applicable ethical and regulatory obligations.

The Trust Team Coordinator works closely with attorneys, legal support teams, billing, finance leadership, and banking partners to maintain strong controls, clear communication, and audit-ready documentation across trust accounting processes.

Responsibilities:

  • Support daily trust accounting activities, including receipts, disbursements, transfers, and related documentation.
  • Assist with maintaining accurate client and matter-level trust balances and ensuring activity is properly recorded in the firm's financial systems.
  • Review trust activity for completeness, accuracy, and compliance with firm procedures before processing or escalation.
  • Coordinate with attorneys, legal support teams, and finance personnel to resolve trust-related questions, missing information, or transaction exceptions.

Reconciliations, Documentation & Audit Readiness

  • Assist with trust account reconciliations by gathering supporting documentation, researching reconciling items, and following up on outstanding exceptions.
  • Maintain organized, complete, and audit-ready trust accounting records, including approvals, transaction support, bank documentation, and correspondence.
  • Support internal reviews and external audit requests by providing schedules, reconciliations, explanations, and supporting documentation as needed.
  • Monitor recurring issues or documentation gaps and escalate concerns to trust accounting leadership for resolution.

Disbursement Coordination & Inquiry Resolution

  • Assist with trust disbursement requests, including review of supporting documentation, approval status, payment instructions, and available balances.
  • Coordinate with Accounts Payable, banking contacts, attorneys, and legal support teams to support timely and accurate trust-related payments.
  • Respond to internal trust accounting inquiries in a timely, professional, and service-oriented manner.
  • Research and help resolve payment questions, transaction discrepancies, returned items, or other trust-related exceptions.

Controls, Compliance & Process Support

  • Follow established trust accounting policies, procedures, and control requirements, including segregation of duties, approval standards, and documentation expectations.
  • Support compliance with trust accounting rules, client requirements, firm policies, and applicable ethical and regulatory obligations.
  • Identify opportunities to improve accuracy, consistency, documentation, and efficiency in trust accounting workflows.
  • Assist with special projects, system updates, process documentation, and other finance initiatives related to trust accounting operations.
  • Maintain confidentiality and exercise sound judgment when handling sensitive client, matter, banking, and firm financial information.

Requirements:

  • Two or more years of accounting, finance operations, trust accounting, accounts payable, banking, or related experience.
  • Experience working in a law firm, legal, or professional services environment.
  • Strong attention to detail, accuracy, organization, and follow-through.
  • Ability to manage confidential information with discretion and professionalism.
  • Strong written and verbal communication skills, with the ability to work effectively with attorneys, staff, finance personnel, and external contacts.
  • Proficiency with Microsoft Excel, Outlook, and financial or accounting systems.

Preferred

  • Prior trust accounting experience in a law firm environment.
  • Familiarity with law firm financial systems, client/matter accounting, and banking platforms.
  • Experience with Aderant, Elite, or comparable legal financial systems.
  • Experience supporting reconciliations, audit requests, payment processing, or controlled financial workflows.
