About You

We’re looking for a talented, motivated, and goal-oriented Accounting Assistant in our Phoenix, AZ office. We want someone who is willing to roll up their sleeves and jump into whatever is thrown their way.

We also want someone who is a real stickler for detail and following written processes.

Job Duties
  • Accounts Receivable
  • Assist with day-to-day Accounts Receivable (AR) functions.
  • Enter and apply customer payments, including scanned checks, in Quick Books.
  • Manage and process customer payments through the company’s payment portal.
  • Communicate with customers regarding outstanding receivables
  • Accounts Payable
  • Enter vendor bills into Quick Books, ensuring accurate coding and adherence to established procedures and supporting documentation.
  • Review bills for accuracy and ensure appropriate documentation is received prior to payment.
  • Process vendor payments in accordance with established payment schedules and company procedures.
  • Complete bank and credit card reconciliations for company accounts.
  • Sales Orders, Purchasing and Procurement
  • Process customer sales orders in accordance with established procedures
  • Collect customer payments when required prior to placing orders.
  • Create and issue purchase orders and place product orders with vendors
  • Track open orders and follow up with vendors as necessary
  • Coordinate with customers to track shipments and verify successful delivery
  • Research and resolve order, shipment, product, pricing, and vendor discrepancies
  • Administrative support/Culture
  • Provide administrative support necessary for efficient day-to-day business operations.
  • Check and distribute incoming mail and maintain an organized, paperless filing system.
  • Plan and coordinate company group and social activities, including the weekly company lunch, holiday party and other group events.
  • Assist the Director of Operations with additional accounting, operational, and administrative responsibilities as needed
Education
  • High School Diploma (or equivalent)
  • Additional accounting or business education is a plus
Qualification
  • 2-3 years of experience in accounting support, bookkeeping, accounts payable, accounts receivable, or a similar administrative accounting role.
  • Experience using Quick Books for day-to-day accounting transactions
  • Proficiency with Microsoft Office, including Outlook, Excel, and Word
  • Purchasing, procurement, or sales order processing experience is a plus
  • Experience performing bank and credit card reconciliations.
  • Strong attention to detail, accuracy, and organizational skills
  • Ability to follow established procedures and manage multiple priorities
  • Strong problem-solving skills with the ability to research and resolve discrepancies
  • Professional written and verbal communication skills with customers, vendors, and team members
  • You are coachable, a quick learner, and can easily adapt. You have the drive to perform and excel
Compensation

$43,680 - $49, 920 Per Year
