Position SummaryWe are seeking a detail-oriented and proactive Operations Administrator to support our Operation Manager in coordinating administrative workflows, procurement documentation, and internal communication across the company. This role plays a key part in ensuring our operational processes run smoothly, deadlines are met, and records are kept accurate and compliant.
Key Responsibilities- Maintain and update operational records, procurement files, contracts, and administrative documents
- Coordinate schedules, meetings, agendas, and follow-ups for the Operation Manager
- Assist with procurement tasks, including vendor communication, quotations, and delivery tracking
- Support financial documentation such as expense reports, invoices, and CPA coordination
- Manage onboarding documentation and assist with HR-related administrative tasks
- Track compliance documents, insurance certificates, and safety-related submissions
- Improve administrative workflows and support the implementation of operational systems
- Strong organizational skills and attention to detail
- Proficiency with Microsoft Office / Google Workspace
- Excellent communication skills (written and verbal)
- Ability to multitask and prioritize in a fast-paced environment
- Experience in construction, engineering, procurement, or operations support
- Familiarity with accounting systems, document control, or ERP workflows
- Ability to work independently and take initiative
