Description

We are seeking a highly motivated and customer service-oriented individual to join our team as a full-time Administrative Assistant II to support our rapidly growing Mater Misericordiae Parish. This position will report to the Office Manager and have daily interaction with our priests. This role is essential to the smooth and efficient operation of our growing parish. The ideal candidate will be a proactive and organized individual with excellent customer service, communication, and interpersonal skills.

Requirements

Essential Job Functions
  • Responsible for answering phones and emails during office hours.
  • Greets and refers visitors to the appropriate ministers, services or agencies.
  • Prepares correspondence and processes mail.
  • Performs secretarial duties for the priests and office manager.
  • Prepares bulk mailings as needed.
  • Maintains office record-keeping and filing systems, including sacramental records as needed.
  • Maintains parishioner registration data, envelope roster.
  • Maintains calendar for Parish; arranges meetings, conferences, travel, etc.
  • Design and layout of the parish bulletin.
  • Design and layout of supplemental parish informational material.
  • Answers all inquiries in a manner that promotes public relations on behalf of the parish; this includes verbal and written communication.
  • Provides data entry for Parish.
Additional Job Functions
  • Perform any job-related tasks necessary for the smooth flow of operations within the parish.
  • Contributes to team effort for a professional office environment and maintains good working relationships with all diocesan and parish staff.
Knowledge,

Skills and Abilities

Required
  • Working knowledge of office software:
    Microsoft Publisher and Word, Canva experience is a plus.
  • Ability to work under pressure, manage multiple projects simultaneously and handle stressful situations.
  • Ability to make decisions in a timely manner and communicate these decisions effectively.
  • Excellent written and verbal communication skills.
  • Ability to set priorities and organize work effectively.
  • Ability to maintain confidentiality is essential.
  • Knowledge of Catholic Church, teachings, structure and policies.
Minimum Qualifications
  • High school diploma or equivalent certificate.
  • Three years’ experience working in a related position.
  • Active practicing Roman Catholic in full communion with the Church.
  • Must maintain the highest level of confidentiality.
  • Ability to prioritize tasks and manage multiple deadlines.
Work Environment
  • This job operates in a professional office environment.
  • This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
Physical Demands
  • This is largely a sedentary role; however, some local travel is required, as necessary.
