Job Summary:
The Arizona Department of Corrections, Rehabilitation & Reentry (ADCRR) is seeking a Correctional Records Clerk II (CRC II) to perform complex clerical work. The Correctional Records Clerk II will process and maintain the master records files for all inmates in the Arizona Department of Corrections Rehabilitation & Reentry. Under supervision, the CRC II will research and compile data for reports and responses to inquiries, sorts, posts, files retrieves, and replaces documents and information in offender master files.
This position also researches and gathers information for agency staff, court officials, law enforcement agencies, and others. The CRC II will require essential knowledge of special laws, rules, and regulations pertaining to release or inmates' records information.
Job Duties:
* Processes and completes certification of prior conviction packet requests that come from the prosecutor's office:
Federal, State, County, District, and Attorney General's Office
* Responds to telephone inquires for information, researches and retrieves information for special projects
* Facilitates and conducts daily inmate record maintenance activities pertaining to new intake and releases list
* Acknowledges notification requests from other agencies
* Reviews court documents, enters data into computer system, opens and distributes mail
* Establishes, processes and maintains master record files
* Researches and complies data for reports and responses
* Sorts, files, copies, retrieves and replaces documents and information in offender master record files
* Attends mandatory training classes
* Drives on State business
* Perform other duties appropriate to the assignment
Knowledge, Skills & Abilities (KSAs):
Knowledge of:
* ADCRR policies and procedures pertaining to offender files
* State statutes pertaining to the release of information
* Arizona Correctional Information System (ACIS)
* Alpha/numeric digit filing systems
* English language usage and spelling
* Office practices and procedures
* Customer service skills
* Attention to detail
* Personal computers and software including Google Suite
* Compliance with outside agency rules and regulations for storage and retrieval of offender records
Skill in:
* Effective written and verbal communication
* Operation of computer terminal, office machines, and equipment
* Monitoring the accuracy of offender records and documents
* Effective time management and organization of duties
* Critical thinking skills
* Interpretation of time computation records for release dates
Ability to:
* Multi-task
* Learn through repetition, practice, and on-the-job training
Selective Preference(s):
* One (1) year of experience interpreting court documents and legal terminology
* Experience with Arizona Correctional Information System (ACIS)
* Previous filing experience in an office environment
* High School Diploma or General Education Development (GED)
Pre-Employment Requirements:
Employment is contingent on the selected applicant passing a background investigation.
If this position requires driving or the use of a vehicle as an essential function of the job, then the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver's license, complete all required training, and successfully pass all necessary driver's license record checks. The license must be current, unexpired, and neither revoked nor suspended.
Employees who drive on state business are subject to driver's license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R).
In an effort to maintain a safe environment, all employees are required to take a Tuberculosis (TB) test during their New Employee Orientation and every year thereafter.
All newly hired State employees are subject to and must successfully complete the Electronic Employment Eligibility Verification Program (E-Verify).
