About the RoleWe are seeking a highly organized and experienced Office Administrator to manage daily office operations and oversee key financial, payroll, HR, and CRM functions. The ideal candidate has strong experience with Quick Books, payroll systems such as Paychex, CRM management, new order processing and accounts receivable/payable processes.
This is a hands‑on role requiring attention to detail, accountability, discretion, and strong problem‑solving skills.
Key Responsibilities Accounting & Financial Management- Manage accounts receivable and accounts payable
- Maintain accurate records in Quick Books
- Reconcile bank and credit card statements
- Generate financial and operational reports
- Coordinate with external CPA or accounting partners
- Process payroll using Paychex or similar systems
- Maintain employee records and HR documentation
- Support onboarding and offboarding processes
- Administer benefits and ensure HR compliance
- Maintain confidentiality of sensitive information
- Maintain and update CRM records accurately
- Ensure data integrity and reporting accuracy
- Generate CRM reports as needed
- Oversee daily office operations and vendor relationships
- Support leadership with administrative needs
- Assist with special projects and operational improvements
Minimum 5+ years of experience as an Office Administrator.
Direct Experience With- HR administration
- Accounts receivable and payable
- CRM management
- Payroll processing (Paychex or similar systems)
- Quick Books
- Strong organizational and multitasking skills
- High attention to detail and accuracy
- Proficiency in Microsoft Office (Excel required)
