Job Summary:
The Arizona Department of Corrections, Rehabilitation & Reentry (ADCRR) is seeking a Correctional Records Clerk II (CRC II) to perform complex clerical work. This position processes and maintains the master records files for all inmates in ADCRR. Under supervision, researches and compiles data for reports and responses to inquiries. Sorts, posts, files, retrieves, and replaces documents and information in offender master files.
Also researches and gathers information for agency staff, court officials, law enforcement agencies, and others. This position requires essential knowledge of special laws, rules, and regulations pertaining to the release of inmates' records information.
Job Duties:
* Closes out files of inmates who have completed their ADCRR commitment and integration institution release packet with the inmate file
* Pulls files for release processing, audits, reviews, and as needed for Time Computation staff
* Annotates in the Arizona Correctional Information System (ACIS)
* Establishes new offender record files
* Reviews court documents/audits automated system for accuracy of data input
* Processes intake packets
* Maintains tracking logs and daily counts of all incoming intake packets
* Files documents in chronological order in the master record in accordance with ADCRR policy
* Files court documents and intake packets, by ACIS dates
* Files the documents in the designated area for forwarding to the appropriate staff processing
* Responds to telephone inquiries for information
* Researches and retrieves information for special projects
* Attends meetings, trainings, and trains and/or assists Correctional Records Clerk I
* Drives on State business
* Perform other duties appropriate to the assignment
Knowledge, Skills & Abilities (KSAs):
Knowledge of:
* ADCRR policies and procedures pertaining to offender files
* State statutes pertaining to the release of information
* Arizona Correctional Information System (ACIS)
* Alpha/numeric digit filing systems
* English usage and spelling
* Office practices and procedures
* Customer service skills
* Attention to detail
* Computers and associated software, including Microsoft Office and Google Suite
* Compliance with outside agency rules and regulations for storage and retrieval of offender records
Skill in:
* Effective written and verbal communication
* Operation of a computer terminal, office machines, and equipment
* Dexterity of hands
* Monitoring the accuracy of offender records and documents
* Effective time management and organization of duties
* Critical thinking
* Interpreting time computation records for release dates
Ability to:
* Multi-task
* Learn through repetition, practice, and on-the-job training
Selective Preference(s):
* One (1) year of experience interpreting court documents and legal terminology
* Experience with Arizona Correctional Information System (ACIS)
* Previous filing experience in an office environment
* High School Diploma or General Education Development (GED)
Pre-Employment Requirements:
Employment is contingent on the selected applicant passing a background investigation.
If this position requires driving or the use of a vehicle as an essential function of the job, then the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver's license, complete all required training, and successfully pass all necessary driver's license record checks. The license must be current, unexpired, and neither revoked nor suspended.
Employees who drive on state business are subject to driver's license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R).
In an effort to maintain a safe environment, all employees are required to take a Tuberculosis (TB) test during their New Employee Orientation and every year thereafter.
