Project Manager

U-Haul's in-house ad agency, A&M Associates, seeks a talented and organized individual to join our team as Administrator Assistant to the Architectural Illustration and Design Team. The ideal candidate will have a passion for project management and will be responsible for providing administrative support to ensure the efficient operation of the team. The Administrative Assistant will be crucial in facilitating communication and workflow, managing team tasks, and assisting with various projects.

Responsibilities:

Communication:

* Coordinate meetings and appointments, including scheduling and preparing necessary materials.

* Respond to emails and phone calls in a timely and professional manner.

* Draft and proofread correspondence, ensuring accuracy and professionalism.

Documentation and Filing:

* Assist in creating project folders, filing project documents and emails, and editing documents, reports, and presentations.

* Maintain team members' electronic filing systems.

* Maintain team members' project work list (Excel).

Task Coordination:

* Coordinate and follow up on tasks assigned to team members.

* Assist in project management by tracking project timelines (Excel).

Calendar Management:

* Manage and update the team's work and production calendar.

* Remind team members of upcoming deadlines and events.

Qualifications & Skills:

* 2+ years of administrative experience

* Strong organizational and multitasking skills with exceptional attention to detail.

* Excellent written and verbal communication skills.

* Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

* Experience with Adobe Acrobat or Bluebeam Revu for document markup and PDF management.

* Experience with SharePoint, One Drive, Dropbox, or similar document-sharing platforms.

* Knowledge of design and construction phases (schematic design, design development, construction documents) is a plus.

* Ability to handle confidential information with professionalism and discretion.

* A positive, team-oriented attitude and a proactive approach to problem-solving.
