End Run LLC is a technology consultancy dedicated to direct collaboration with DoD mission partners to develop technology solutions to solve real National Security challenges. As the delivery partner for the Defense Innovation OnRamp Hub:
Arizona, we are responsible to cultivate the defense innovation ecosystem in our state and support dual-use and defense-focused technology companies on their path to success with the DoD.

About the Position

The Administrative Coordinator plays a dual role in ensuring smooth daily operations of our office while serving as the first point of contact for visitors, clients, and partners. This individual will manage front desk responsibilities, oversee administrative processes, and support leadership with scheduling, communications, and office coordination. The ideal candidate is highly organized, professional, and customer-service oriented, with a proactive approach to problem-solving.

Key responsibilities include:

Event & Program Coordination
  • Support administrative planning and logistics for company events and programs
  • Coordinate schedules, meeting spaces, and internal calendars
  • Communicate with vendors, partners, and internal stakeholders
  • Assist with event preparation, setup, and post-event follow-up
  • Maintain accurate records and documentation related to programs
Front Desk & Reception
  • Serve as the first point of contact for visitors and guests
  • Manage incoming calls, emails, and inquiries
  • Maintain a professional and welcoming office environment
  • Handle mail, deliveries, and courier services
Access Control & Security Support
  • Manage office access control procedures and security protocols
  • Issue and track visitor badges or access credentials
  • Monitor and support employee and guest check-in/check-out processes
  • Maintain confidentiality and adherence to company security policies
Office Management & Operations
  • Oversee general office organization and upkeep
  • Maintain inventory of office and kitchen supplies; place orders as needed
  • Ensure shared spaces remain clean, organized, and functional
  • Serve as a liaison with vendors, service providers, and building management.
  • Assist with general administrative tasks as needed
Qualifications
  • 2+ years of experience in administrative, office coordination, or similar role
  • Strong organizational and time-management skills
  • Excellent verbal and written communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Comfortable handling security procedures and confidential information
