About the roleThe Office & Experience Manager at Grad Guard is responsible for building and maintaining a high-performing, people-first workplace that supports both operational excellence and company culture. This role owns office operations, facilities, vendor relationships, and workplace programs while partnering closely with People Operations, IT, Executive Leadership, and other stakeholders.
This position is ideal for someone who thrives in fast-paced, high-growth environments and enjoys balancing hands-on execution with strategic thinking. You’ll be a trusted operator, ensuring our workplace is efficient, secure, compliant, and engaging for employees, interns, contractors, guests, and partners alike.
What you'll do
Workplace Operations & Office Management- Own day-to-day office operations for a hybrid workforce, ensuring a safe, organized, and high-functioning environment.
- Streamline processes, improve workflows, and document office policies and procedures.
- Manage office budgets, track expenses, and identify cost‑saving opportunities.
- Serve as the go‑to owner for workplace needs and operational problem‑solving.
- Manage vendor relationships and SLAs across facilities, maintenance, and office services.
- Partner with IT to oversee access control systems, badges, alarms, and physical security protocols.
- Coordinate office build‑outs, and space optimization projects as needed.
- Maintain emergency preparedness plans, safety supplies, and compliance standards.
- Plan and execute internal events such as all‑hands meetings, team off‑sites, intern programming, and culture initiatives.
- Oversee our Monday lunch program for Phoenix‑based employees.
- Support external‑facing events that engage school partners, advisors, and other stakeholders.
- Coordinate logistics including travel, shipping, venues, catering, and on‑site execution.
- Partner cross‑functionally to deliver polished, well‑run experiences that reflect Grad Guard’s values.
- Support recruiting operations and interview coordination during peak hiring seasons.
- Play a key role in onboarding logistics, office readiness, and new‑hire experience.
- Help manage and support Grad Guard’s summer internship program (15+ interns), including onboarding, scheduling, and program logistics.
- Provide calendar, scheduling, and administrative support to executives as needed.
- Coordinate travel arrangements, itineraries, and expense reporting.
- Support cross‑functional initiatives and ad hoc projects aligned with company priorities.
- 3+ years of experience in office management, workplace operations, People Operations, or similar roles (startup or high‑growth environment preferred).
- Strong operational mindset with experience managing vendors, budgets, and facilities.
- Comfort partnering with IT and Creative & Comms teams on systems, devices, and communication.
- Experience planning events and programs at scale.
- High attention to detail and ability to manage sensitive and confidential information.
- Exceptional organizational, multitasking, and problem‑solving skills.
- Strong written and verbal communication abilities.
- Proficiency with Google Workspace, calendaring tools, spreadsheets, and presentation tools (Keynote or equivalent).
- Calm, adaptable, and solutions‑oriented approach, especially during peak seasons.
