Position OverviewThe Project Administrator provides comprehensive administrative support to the Project Manager, executive leadership, and project teams. This role is pivotal in coordinating team efforts, facilitating project execution, and ensuring that all aspects of a project are well-organized and efficiently managed. Responsibilities include overseeing schedules, arranging assignments, tracking project progress, and analyzing outcomes to ensure projects are completed on time and within budget.
The Project Administrator also handles reporting, addresses potential issues, incorporates team feedback, and supports both simple and complex project activities in collaboration with Project Managers and Coordinators.
- Prepares action plans, conducts risk analyses and opportunities, and gathers necessary resources.
- Initiates and coordinates the submission of project proposals, contracts, and project modifications; stays involved with each project until they are completed; and assures projects are closed correctly.
- Assists in planning the budget for projects; tracks expenses and predicts future costs; and assesses and reports the impact of expenses vs. budgets.
- Leads the staff that prepares cost estimates and implements and uses tools to review and track new and ongoing projects, proposals, and addenda.
- Discusses updates and liaises between clients, analysts, team leaders, and top management.
- Provides guidance and assistance on contractual requirements, prepares and submits project proposals and other required administrative support; and assures contract compliance.
- Communicates with external clients when necessary to resolve contractual issues.

Qualifications- Associate’s or Bachelor’s degree in Business, Project Management, or a related field preferred.
- 5+ years of experience in project coordination, administrative support, or operations within a technical or service-based industry.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams); experience with project management software (e.g., MS Project, Smartsheet, ) is a plus.
- Excellent verbal and written communication skills.
- Ability to work both independently and collaboratively in a fast-paced environment.
- Familiarity with engineering, construction, or environmental services terminology and workflows is preferred.
- This position does not require regular travel as part of its primary responsibilities. However, occasional travel may be required, up to 10%, primarily for occasional off‑site meetings, training sessions, or company events. Travel, when necessary, will be communicated in advance and aligned with business needs.
This position primarily operates in a professional office environment, requiring the ability to work at a desk for extended periods while using a computer, phone, and standard office equipment. The position involves sitting for extended periods, performing data entry, and engaging in frequent communication via email, phone, and in‑person interactions. The role involves regular communication with team members, clients, and stakeholders, both in person and through virtual platforms.
The physical demands of the job may include occasional standing, walking, bending, and lifting of office materials up to 15 pounds.
