Duties & Responsibilities
  • Perform a variety of administrative and/or secretarial support activities for supervisor, such as composing correspondence and summarizing reports to facilitate review, and investigate, evaluate, and resolve problems.
  • Create, oversee, and update departmental files, complex databases, and a variety of reports.
  • Run and interpret reports from the curricular management system to support course planning, evaluation, and accreditation needs.
  • Provide guidance and assistance to students, faculty, researchers, and other staff on policies, practices, and procedures, including on LCME matters.
  • Assist Foundational Curriculum coordinators with session preparation and student events.
  • Schedule and organize meetings with Block, Course, Theme Subcommittee (BCTS) and Block Directors staff/faculty.
  • Organize, edit, and develop presentation materials, handouts, and maintain tracking of projects, assignments, and due dates for events and projects across subcommittees and the department.
  • Prepare minutes, notices, manuals, agendas, and correspondence with supporting documentation, applying specialized knowledge of the assigned function.
  • Implement new policies, procedures, or practices impacted by decisions made at meetings and conferences; interpret and explain established policy and procedure in response to inquiries.
  • Coordinate complex processes and initiatives such as block assessment data, faculty reports, or course scheduling.
  • Monitor, review, and approve standard expenditures to ensure office activities are within established budgets.
  • Manage the departmental PCard, authorizing and tracking use in compliance with University Guidelines.
  • Track and prepare expense reimbursements.
  • Maintain and purchase departmental supplies.
  • Serve as back up for other support staff positions, as assigned by supervisor.

  • Effective verbal and written communication; ability to communicate with different groups and individuals, internal and external to University of Arizona
  • Ability to handle multiple competing deadlines
  • Skilled at problem solving and making decisions
  • Flexible and adaptable to the department's growing and changing needs
  • Demonstrated ability to quickly learn new programs and systems
  • Knowledge and proficiency with Microsoft Suite, Box, and Zoom
  • Excellent organizational skills and attention to detail

Qualifications

Minimum Qualifications

  • High school diploma or high school diploma equivalency is required.
  • Five (5) years of relevant experience, or equivalent combination of education and work experience.

Preferred Qualifications

  • Associate degree in a related field of study.
  • Experience in higher education.
