Duties & Responsibilities- Perform a variety of administrative and/or secretarial support activities for supervisor, such as composing correspondence and summarizing reports to facilitate review, and investigate, evaluate, and resolve problems.
- Create, oversee, and update departmental files, complex databases, and a variety of reports.
- Run and interpret reports from the curricular management system to support course planning, evaluation, and accreditation needs.
- Provide guidance and assistance to students, faculty, researchers, and other staff on policies, practices, and procedures, including on LCME matters.
- Assist Foundational Curriculum coordinators with session preparation and student events.
- Schedule and organize meetings with Block, Course, Theme Subcommittee (BCTS) and Block Directors staff/faculty.
- Organize, edit, and develop presentation materials, handouts, and maintain tracking of projects, assignments, and due dates for events and projects across subcommittees and the department.
- Prepare minutes, notices, manuals, agendas, and correspondence with supporting documentation, applying specialized knowledge of the assigned function.
- Implement new policies, procedures, or practices impacted by decisions made at meetings and conferences; interpret and explain established policy and procedure in response to inquiries.
- Coordinate complex processes and initiatives such as block assessment data, faculty reports, or course scheduling.
- Monitor, review, and approve standard expenditures to ensure office activities are within established budgets.
- Manage the departmental PCard, authorizing and tracking use in compliance with University Guidelines.
- Track and prepare expense reimbursements.
- Maintain and purchase departmental supplies.
- Serve as back up for other support staff positions, as assigned by supervisor.
- Effective verbal and written communication; ability to communicate with different groups and individuals, internal and external to University of Arizona
- Ability to handle multiple competing deadlines
- Skilled at problem solving and making decisions
- Flexible and adaptable to the department's growing and changing needs
- Demonstrated ability to quickly learn new programs and systems
- Knowledge and proficiency with Microsoft Suite, Box, and Zoom
- Excellent organizational skills and attention to detail

QualificationsMinimum Qualifications
- High school diploma or high school diploma equivalency is required.
- Five (5) years of relevant experience, or equivalent combination of education and work experience.

- Associate degree in a related field of study.
- Experience in higher education.
