PurposeThe Clerk II is responsible for greeting and directing visitors, responding to inquiries from staff, the public, parents, and students, providing clerical support to administrative personnel, and supplying requested information or referrals to other parties.
Essential Functions- Answer telephone system calls, screen, transfer, take messages, and email messages.
- Coordinate projects, functions, and program components (e.g., meetings, Read Across America program, substitute coverage, peer mediation schedules).
- Greet building entrants (visitors, parents, students, vendors) and direct them per security procedures.
- Input data into commercial and customized databases (attendance, scheduling, employee parking, transcripts).
- Maintain manual and electronic document files and records (absence reports, counselor schedules).
- Perform general clerical functions (copying, faxing, data entry, filing).
- Schedule activities (appointments, building use, bus and van usage).
- Distribute items within the site (mail, discipline notes, special delivery, overnight mail/packages, messages).
- Receive items (mail, special deliveries, packages, supplies) for proper distribution.
- Maintain reception area materials to provide resource information to visitors.
- Perform other related duties as assigned to ensure efficient functioning of the work unit.
Minimum Qualifications
- High school diploma or equivalent.
- Required experience:
Job related experience. - Skills, Knowledge and Abilities:
Customer service, telephone etiquette, office practices, basic math, record keeping, ability to schedule activities, gather and collate data, operate office equipment, maintain confidentiality, adapt to changing priorities. - Working knowledge of basic computer software.
Work under immediate supervision; provide information and/or advise others; occasional collaboration with other work units.
Work EnvironmentPhysical demands include lifting, carrying, pushing, pulling, stooping, kneeling, crouching; 85% sitting, 10% walking, 5% standing; clean and healthy environment.
Clearances and Certifications- Criminal Background Clearance.
- Valid Arizona DPS Level I IVP Fingerprint Clearance Card.
