Summary:
The Receptionist is accountable for managing the company's lobby area; greeting and directing all visitors; ensuring completion of paperwork, sign-in and security procedures; handling special administrative projects, as well as overflow work from other departments; responsible for answering incoming calls and greeting all guests. She/he will maintain a smooth flow of work in accordance with changing priorities, while coordinating and implementing office procedures and taking ownership of assignments.
Duties and Responsibilities:
The Receptionist is expected to have the switchboard open and operating promptly at 8:00 a.m. and throughout the day until 5:00 p.m. Relief switchboard coverage will be provided during lunch hour, as well as morning and afternoon breaks. The Receptionist should work with relief coverage to determine appropriate times for breaks.
- Greet guests in a professional, friendly, hospitable manner, assuring that each visitor signs the Security Guest Sign-In Book, as well as announcing and directing them to appropriate colleague.
- Answer telephones and direct the caller to the appropriate associate. Transfer caller to voice mailbox when the member of staff is unavailable.
- Provide callers with information such as company address, directions to the company location, company e-mail addresses and/or fax numbers, company website, and other related information.
- Receives, opens/date stamps incoming mail, adding accounting stamp and copying all incoming invoices. She/he is to coordinate the pick-up and delivery of express mail services (Fed Ex, DHL, UPS, etc.)
- Assists with clerical duties such as photocopying, mailing, faxing, filing, etc.; types correspondence, reports, panel schedules, transmittals, etc.; as well as updates Trade Service Book.
- Operates general office equipment such as switchboard, printers, calculator, copiers, scanners, etc.
