Supervisory Responsibilities:
No
- Greet clients, visitors, and guests, determine the purpose of their visit, and direct them to the appropriate location.
- Answer, screen, and direct phone calls to the appropriate staff members, take messages, and schedule appointments.
- Receive and distribute mail, documents, packages, and courier deliveries.
- Support job management by entering weekly time card data for temporary workers and verifying completion of tasks for billed projects.
- Assist with billing for specific projects and set up new vendors in the system.
- Schedule and coordinate projects with technicians, update the Technicians’ calendar, and communicate any project changes to the appropriate supervisors/managers.
- Provide accounting support by entering vendor information, reconciling credit card receipts, and maintaining subcontractor files.
- Assist with inventory management, including data entry and tracking.
- Maintain cleanliness and organization of common areas, conference rooms, and office supplies.
- Complete any other duties as assigned.
- Ability to execute administrative tasks with a focus on quality and attention to detail.
- Advanced computer skills, particularly in Microsoft Office.
- Strong multitasking abilities in a fast-paced environment.
- Excellent communication skills, both verbal and written.
- Advanced organizational and prioritization skills.
- Good active listening skills and ability to take direction.
- Friendly and courteous when interacting with visitors and colleagues.
- Ability to adapt to changes and work independently as well as part of a team.

Physical Demands:To successfully perform the essential functions of this role it requires the ability to:
Stand and sit frequently, walk frequently, frequent use of hands (reach with hands and arms), view computer monitor, speak and hear on a frequent basis. The role may require occasional lifting and/or moving up to 10 lbs. Vision abilities required to include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
