Job Title: Coordinator of Administration
Department: Administration

Job SummaryThe Coordinator of Administration will perform diverse assistant duties and administrative functions in support of Executives. A high level of initiative and sound decision making will be critical. This is a fast paced-environment and requires excellent organizational skills and the ability to effectively handle multiple priorities.
Responsibilities- Assist Senior Vice President of Administration.
- Assist with insurance and legal matters company wide.
- Initial review of all company contracts.
- COI (Insurance Certificate) management.
- Business insurance claim management.
- Acts as a resource and point-of-contact for IT matters.
- Develops and maintains a relationship with key vendors and clients.
- Manages any special projects on behalf of the Senior Vice President.
- Acts as Senior Vice President’s representative to independently handle calls or face-to-face matters.
- Composes and prepares confidential correspondence, reports, and other complex documents.
- Maintains confidentiality of all corporate, personnel, and research matters.
- Coordinate work with third-party suppliers - both internal and external - to address support needs and issues on behalf of the Senior Vice President.
- Communicates clearly and in a professional manner with all employees on behalf of Senior Vice President.
- Answer all relevant phone calls promptly and courteously and serve as reception back-up.
- Secures business travel arrangements.
- Other duties as assigned.
- Must have strong people-focused element to this role by liaising with clients, vendors, and other partners.
- Problem-solving and creativity.
- Experience of working in a busy, high pressured environment.
- Excellent oral and written communication skills.
- Pro-active and show initiative.
- Familiarity of Word and Excel.
- Determination to ensure successful events, willingness to undertake a wide range of tasks to its end.
- Flexibility, working on weekends and evenings.
