TITLE: Student Records Technician
CLASSIFICATION: Classified Hourly Salary Schedule
REPORTS TO: Supervisor of Student Information Services
SUMMARY: The Student Records Technician provides technical support and oversight for district student attendance and records processes. This position serves as a central resource to school administrators and site attendance staff, ensuring accurate student enrollment, withdrawal, and records management in compliance with district policies and state reporting requirements.
PERFORMANCE RESPONSIBILITIES:
1. Provide technical guidance and support to school attendance clerks and site staff regarding student enrollment, withdrawal procedures, and attendance record requirements.
2. Train site attendance clerks on district procedures, data entry standards, and student information system processes.
3. Monitor and review attendance and enrollment data entered by school sites to ensure accuracy, completeness, and compliance with district policies and state guidelines.
4. Audit student records and attendance data to identify discrepancies; work with sites to correct errors in a timely manner.
5. Process and verify student registrations, withdrawals, and transfers within the district student information system.
6. Maintain and manage the District's permanent student records, ensuring proper documentation, storage, and confidentiality.
7. Assist in compiling, analyzing, and verifying statistical attendance and enrollment data for district and state reporting.
8. Generate reports from student information systems and spreadsheets to support compliance, funding, and administrative needs.
9. Provide backup support to school attendance clerks during peak periods or staff absences.
10.Respond to inquiries from administrators, staff, parents, and external agencies regarding student records and attendance procedures, in accordance with privacy regulations.
11.Maintain organized electronic and physical filing systems for student records in compliance with records retention guidelines.
12.Support department projects related to student data audits, compliance reviews, and reporting timelines.
13.Attend trainings and professional development to remain current on student information systems, policies, and state requirements.
14.Perform other job-related duties as assigned.
EDUCATION: High school diploma or equivalency required.
EXPERIENCE: Three-years related experience in student records, attendance, or data management. Experience in a school district or educational setting preferred.
SKILLS/KNOWLEDGE/ABILITIES:
• Strong knowledge of student records, attendance procedures, and data entry standards.
• Proficiency in student information systems and Microsoft Office applications, particularly spreadsheets.
• Ability to type a minimum of 40 words per minute.
• High level of English proficiency for professional communication and preparation of correspondence and procedural guidance.
• Strong communication and interpersonal skills for working with administrators, staff, parents, and the public.
• Ability to explain procedures and technical processes in a clear and concise manner.
• Strong organizational skills and attention to detail with a high degree of accuracy.
• Ability to analyze data and identify discrepancies.
• Demonstrated ability to work independently, prioritize tasks, and make decisions in the absence of direct supervision.
• Ability to maintain confidentiality of student records in accordance with applicable laws and district policies.
WORKING CONDITIONS: The work environment is the normal office setting.
TERMS OF EMPLOYMENT: Twelve-month year, Classified Hourly Salary Schedule, employee benefits in accordance with Board policies.
EVALUATION: Performance to be evaluated in accordance with Board policy on evaluation of classified staff.
