Job Purpose:

Join our Technology team as a trusted partner to the Chief Technology Officer (CTO) and Technology Leadership Team. The Administrative Assistant supports senior leaders by anticipating needs, managing competing demands, and ensuring coordination in a fast-paced environment. This role provides exposure to cutting-edge technology initiatives and opportunities to work with executive leadership.

Responsibilities
  • Executive & Leadership Team Support:
    Organize, prioritize, and expedite workflow across the technology organization; provide multifaceted administrative support to the CTO and Technology Leadership Team. Demonstrate urgency and follow-through to meet deadlines and commitments. Anticipate issues and drive resolution.
  • Proactive Calendar & Time Management:
    Manage executive calendars in Outlook, make real‑time tradeoffs based on impact, urgency, and context; protect executive time and push back or escalate as needed; schedule meetings aligned with strategic priorities and business impact; resolve conflicts independently; protect preparation time and ensure purposeful meetings with agendas and pre‑read materials.
  • Meeting Preparation, Briefings & Follow‑Up:
    Prepare concise briefings and materials for upcoming meetings; brief CTO on key meetings and priorities; track outcomes and ensure timely follow-up and accountability.
  • Communication Triage & Gatekeeping:
    Screen meeting requests and correspondence; represent the CTO and leadership team professionally and appropriately with internal and external stakeholders.
  • Information Preparation & Executive Reporting:
    Prepare and present complex information, including board materials, leadership reports, presentations, charts, and graphics; synthesize information for executive decision‑making.
  • Project, Task & Initiative Tracking:
    Maintain visibility into the CTO’s key initiatives; coordinate with direct reports and cross-functional teams to monitor progress, surface risks, and reinforce accountability; research and summarize technology trends as needed.
  • Budget & Financial Support:
    Assist with budget preparation, tracking, and compliance for technology budgets; support financial and operational planning with accurate reporting.
  • Travel & Logistics Management:
    Coordinate domestic and international travel and itineraries; prepare readiness for meetings and events; manage last‑minute changes with minimal impact.
  • Confidentiality, Discretion & Professionalism:
    Handle sensitive information with discretion; maintain professionalism and act as a trusted extension of the CTO and Technology Leadership Team.
Qualifications & Experience
  • Minimum 5 years of progressively responsible administrative experience, ideally supporting a senior executive in a complex, fast-paced environment. High school diploma required; associate or bachelor’s degree preferred.
  • Proficiency in Microsoft Office Suite; ability to adapt procedures and tools to meet complex requirements; interest in leveraging AI and automation tools to improve efficiency.
  • Strong business and organizational awareness; ability to summarize information and prepare executive‑level documents; focus on modernizing administrative workflows.
Work Location & Schedule

This is a hybrid position, requiring onsite presence Mondays, Wednesdays and Fridays at our Global Operations Center, with the option to work remote on Tuesdays and Thursdays. Office address: 20400 N 29th Avenue, Phoenix, Arizona 85027.
