SummaryThe Person nel Associate performs a variety of clerical and human resource functions in support of the Talent Division and District staff.
Essential Functions- Performs a variety of clerical and human resources duties related to the Talent Division. Operates general office equipment (e.g., computer, copier). Exercises discretion within policies and procedures.
- Processes employee leave of absences, background checks, and screening interviews and requisitions for ADA accommodations. Assists department with general human resources functions.
- Responds to inquiries from and provides information to District employees regarding Talent policies, procedures and programs.
- Manages calendars, makes appointments, schedules and coordinates interviews and a variety of meetings and events.
- Maintains accurate, highly confidential personnel records and filing systems. Updates confidential District employee personnel files and other specialized records related to Talent functions. Maintains high levels of confidentiality.
- Greets visitors in a professional and friendly manner, answers telephones and transfers calls, as deemed appropriate; assists staff, students, parents and the community.
- Creates correspondence, writes and responds to emails, processes data entry, types letters, memorandums, reports and other documents. Completes and submits district forms. Reviews and edits materials for accuracy, completeness, and conformance to District policies and procedures.
- Assists in budget preparation; maintains budget and prepares budget variance reports throughout the year.
- Maintains and purchases inventory and supplies. Handles processing of requisitions, purchasing, accounts payable and payroll.
- Prepares for and attends committee, staff, and other meetings; takes notes; prepares and distributes minutes and meeting materials.
- Supports the relationship between the Phoenix Union High School District and the public by demonstrating courteous and professional behavior when interacting with students, parents, visitors, and school staff; maintains absolute confidentiality of work‑related issues, client records, and school information; follows Governing Board Policies; performs all other related duties as required or assigned.
- High School diploma or GED equivalent and at least two years of clerical or administrative support experience; or an equivalent combination of education, training, and experience.
- Possess an active Arizona Department of Public Safety IVP Fingerprint Clearance Card or obtain one within the first 90 workdays of employment.
