Administrative Assistant provides administrative support and organization to department directors. Supports operations with efficient, effective, and customer‑service focused attention.
Position Duties- Assist in tracking and updating annual operational budget, preparing, coding, and tracking payment requests in accordance with budget.
- Maintain inventory levels of standard office supplies and materials, initiating requests as appropriate.
- Assist visitors, patients, families, and others with hospital‑related inquiries or concerns, referring to appropriate resources.
- Compose correspondence and generate communications such as e‑mails, newsletters, reports, mailings, flyers, and brochures using appropriate software.
- Maintain confidential departmental employee files and records, ensuring current and accurate documentation.
- Prepare agendas and minutes for meetings, maintain a current calendar and notify participants of changes for timely communication.
- Provide administrative support to the department, coordinating office workflow and communications including phone management, e‑mail correspondence, file maintenance, and standard mail collection and distribution.
- Perform miscellaneous job‑related duties as requested.
Education:
High School Diploma or equivalent required.
Experience:
Three (3) years of administrative support experience (Associates in Business or related field may substitute for one year of experience) required.
Special
Skills:
Experience in a Windows environment, including MS Office Suite (Word, PowerPoint, Visio, Excel) required.
