The Idealease Service Administrator is in constant communication with our customers to give updates throughout the repair process of their truck(s). The position will also be tasked with scheduling units needed for DOT/PM inspections, recalls, emissions, and any needed follow‑up repairs. The position will assist with any rental activity, and maintain accurate contract and customer records. Success in this position requires strong organizational skills, cross‑department communication, and the ability to handle customer, vendor, and employee interactions with professionalism and accuracy.
Key Responsibilities- Provide customer‑facing support – Answer incoming calls and greet visitors, ensuring professional and timely service.
- Customer communication – Provide constant customer updates throughout the repair process.
- Scheduling – Contact customers with units due for PM, recalls, and any service needs.
- Billing – Assist with closing repair orders, paying vendor invoices, and billing rental equipment.
- Rental – Assist with checking in and out of rental trucks.
- Communicate and cooperate with all departments.
- Handle all employee, vendor and customer issues in a professional and courteous manner.
- Complete assigned tasks within the allotted time frame.
- Display an aptitude to learn and advance.
- Promote an atmosphere of cooperation, teamwork and goodwill with fellow employees.
- Display honesty in all company‑related dealings.
- Display an earnest desire to perform assigned tasks efficiently and accurately.
- Willingly assist other departments that require help in workload as directed by the Idealease Business Manager or Idealease General Manager.
- Excellent communication and interpersonal skills.
- Strong organizational abilities and attention to detail.
- Ability to multitask and manage competing priorities.
- Basic knowledge of billing and invoicing processes.
- Proficiency with phone systems and customer service software.
- Previous experience in a service administrator or customer support role preferred.
- High school diploma or higher; advanced education or technical certifications in business, sales, or automotive/truck maintenance preferred.
- Relevant industry experience in dealership operations, rental/fleet management, or service leadership roles preferred.
- Strong background in staff supervision and team development, including coaching, training, and performance management.
- Practical knowledge of regulatory compliance, safety standards, and customer service best practices within a transportation or automotive environment.
