About the Role

We are a fast‑paced roofing company seeking a sharp, dependable, and hard‑working Executive Operations Coordinator to keep our operations running at full speed. This is a head‑down, get‑it‑done position for someone who thrives under pressure, manages multiple priorities simultaneously, and communicates confidently in both English and Spanish. You will serve as the operational backbone of our executive team—managing crew schedules, coordinating multi‑state travel, tracking time and attendance, and keeping reporting on track.

Important:
This role involves a high daily volume of shift changes, crew alignments, scheduling updates, and project coordination. You must be ready for it.

Responsibilities
  • Build, maintain, and adjust roofing crew schedules daily, including shift changes and crew alignments across active job sites
  • Coordinate multi‑state travel for executives—flights, hotels, ground transportation, and reservations
  • Prepare and submit executive expense reports accurately and on time
  • Track time and attendance for field crews; identify and resolve discrepancies
  • Manage staffing logistics and support crew alignment across multiple projects
  • Review and process a high volume of shift updates and scheduling requests
  • Support project coordination and cross‑departmental communication
  • Act as a bilingual point of contact between executives and Spanish‑speaking field crews
  • Handle administrative tasks and special projects as assigned by leadership, and support front office reception as needed
Qualifications
  • Fully bilingual in English and Spanish—written and verbal (required)
  • 2+ years of experience in operations coordination, executive support, or a similar administrative role
  • Proven ability to manage multiple priorities in a fast‑paced environment
  • Experience with crew or workforce scheduling preferred; construction or roofing industry a plus
  • Proficient in Microsoft Office (Excel, Outlook, Word) and scheduling software
  • Strong attention to detail with excellent organizational and time‑management skills
  • Comfortable handling sensitive employee and payroll data with discretion
  • Self‑starter who works independently with minimal supervision
  • Reliable, punctual, and committed to showing up and doing the work every day
Position Details

Pay: $27 – $35 per hour, based on experience.

Schedule:

Monday – Friday, 7:00 am – 4:30 pm. Work Setting:
In‑office (this is not a remote or hybrid position).

Employment Type:

Full‑time. Language Requirement:
Bilingual English/Spanish required.
