Position: Administrative Assistant I

Overview

Administrative Assistant responsibilities include general administrative tasks such as event coordination, making travel and meeting arrangements, gathering, documenting, and preparing reports, preparing financial data, and various customer relations duties. This position requires strong analytical and computer skills, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management, including staff, analysts, and internal and external customers.

Responsibilities
  • Screen phone calls and mail, answer routing questions, identify and prioritize calls and requests, and provide accurate information in a professional manner.
  • Prepare and maintain budget for department(s) with appropriate oversight.
  • Manage calendar and appointments; handle miscellaneous, standard, and complex administrative requests per the Division VP.
  • Coordinate travel arrangements and prepare expense reports.
  • Organize and maintain confidential correspondence and files.
  • Manage frequent interaction with internal and external customers.
  • Prepare presentations and create and maintain spreadsheets/reports as needed.
Qualifications
  • Bachelor's degree in Business Management or a related field preferred.
  • Minimum of five (5) years of administrative experience, preferably in a grocery retail industry.
  • Excellent customer service and interpersonal skills with ability to gather and monitor confidential information.
  • Exceptional writing, analytical, and problem‑solving skills.
  • Proficient in Microsoft Suite; including Word, Excel and PowerPoint.
  • Ability to comprehend basic accounting practices and practices of organization, planning and record management.
