Part-time Studio Administrator (Part-Time, with Potential for Full-Time)LINKLAB is a design and research-driven architecture studio based in Phoenix’s Warehouse District. Our work spans urban, cultural, civic, and commercial projects, grounded in collaboration, curiosity, and how ideas become built form. We are seeking an experienced Studio Administrator to support daily operations and coordinate key administrative, financial, and proposal-related activities.
AboutThe Role
This role is ideal for someone who is highly organized, proactive, and comfortable working across a range of responsibilities. The Studio Administrator supports the day‑to‑day operations and helps maintain clear, consistent internal processes aligned with the studio's broader goals. This is a part‑time position with the potential to evolve into full‑time as studio needs grow. Familiarity with the architecture industry is preferred but not required.
Operations+ Team Support
- Serve as a central point of coordination for staff requests, office needs, and general administrative follow‑up
- Support leadership with scheduling, calendars, and administrative needs
- Coordinate leadership travel arrangements and logistics
- Prepare meeting agendas and document meeting notes
- Maintain digital and physical filing systems
- Manage desk sublet lease details and conference room scheduling
- Oversee tenant agreements for studio flex room
- Maintain project directories and document organization
- Track licenses, subscriptions, memberships, and renewals
- Coordinate office vendors and service providers
- Order and maintain office supplies
Assist with onboarding new employees and consultants - Coordinate team events, studio lunches, and internal gatherings
- Manage project invoicing
- Assist in maintaining accurate project‑related financial documentation as needed
- Support proposal coordination
- Assist in preparing draft proposal materials
- Support compilation and formatting for submission packages
- Assist with final proposal preparation for leadership review and client delivery
- Coordinate conference registrations and speaking engagements
- Support coordination of photography and project documentation efforts
