DescriptionImpresiv Health is conducting a high-priority search for an experienced Executive Administrative Assistant to support the President & CEO and Core Leadership Team (CLT) of a highly visible healthcare organization. This role requires a polished, proactive professional with exceptional judgment, discretion, and the ability to thrive in a fast‑paced, high‑volume executive environment. The ideal candidate brings extensive C‑suite support experience, outstanding organizational and communication skills, and a proven history of long‑term career stability.
This individual will play a critical role supporting executive operations, Board of Trustees activities, travel coordination, and strategic administrative initiatives while maintaining the highest level of confidentiality and professionalism.
- Provide high‑level executive administrative support to the President & CEO and Core Leadership Team.
- Manage complex Outlook calendars, coordinate meetings, and prioritize shifting executive schedules with urgency and accuracy.
- Coordinate detailed domestic travel arrangements including flights, hotels, transportation, itineraries, and expense reporting.
- Support Board of Trustees meetings through event planning, meeting logistics, materials preparation, and coordination activities.
- Draft, proofread, edit, and compose executive correspondence, presentations, reports, and communications with exceptional attention to detail.
- Handle confidential and sensitive information with professionalism, discretion, and sound judgment.
- Collaborate closely with the Assistant to the President and CEO and other executive support staff to ensure seamless executive operations.
- Manage multiple priorities and special projects simultaneously in a high‑volume environment while adapting to changing business needs.
- Serve as a liaison between executive leadership, internal departments, external stakeholders, and business partners.
- Assist with onboarding coordination for executive leaders and consultants, including workspace preparation, scheduling, and technology coordination.
- Coordinate meeting logistics including room setup, catering, presentation materials, and executive event support.
- Thrives in a fast‑paced, high‑pressure executive environment while maintaining professionalism and composure under shifting priorities.
- Demonstrates exceptional organizational skills, urgency, follow‑through, and attention to detail.
- Brings a proactive, resourceful mindset with the ability to anticipate executive needs and solve problems independently.

- Effectively manages multiple competing priorities while consistently delivering accurate, high‑quality work in a high‑volume setting.
- Minimum 10+ years of executive administrative support experience, including at least 5 years supporting a CEO, President, or C‑suite executive.
- Strong preference for candidates with 15+ years of executive support experience and demonstrated career longevity.
- Mandatory experience supporting Board of Trustees meetings, including event planning and administrative logistics.
- Advanced proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams), Zoom, VPN technologies, and Docu Sign.
- Proven experience managing high‑volume calendars, executive travel, and complex scheduling coordination.
- Exceptional grammar, proofreading, writing, and communication skills.
- Strong project coordination and multitasking abilities with the flexibility to reprioritize quickly.
- U.S. Citizenship required with the ability to successfully pass a Department of Defense background investigation covering 7–10 years of history.
- Bachelor’s degree in Business or related field preferred.
- Experience with in healthcare, government programs, military health systems, or high‑profile executive environments is strongly preferred.
- Prior U.S. Military service is highly valued.
- 100% onsite attendance at the Phoenix, AZ, corporate office location.
- Flexibility to support early morning and late afternoon executive needs.
- Participation in an on‑call weekend rotation for urgent scheduling or travel support.
