Administrative Support Professional I
The College of Medicine - Phoenix is seeking an experienced Administrative Support Professional to work closely with senior leadership, department administrators, and staff to support educational, clinical, and research missions. The ideal candidate will have excellent organizational skills, the ability to multitask in a fast‑paced environment, strong communication skills, and a professional demeanor. They should handle confidential information carefully and be proficient with Microsoft Word, Excel, and Outlook.
Responsibilities- Assist in managing day‑to‑day administrative operations of the department.
- Schedule and manage meetings, appointments, and travel for department leadership, prepare background materials, and coordinate logistics (room reservations, technical support, food, parking).
- Prepare and design materials for meetings and take minutes.
- Investigate, evaluate, and resolve typical administrative and operational problems impacting staff and faculty work units.
- Coordinate with Office of Faculty Affairs and Human Resources for faculty and staff recruitment and committee work.
- Schedule interviews and manage logistics for job applicants.
- Prioritize workload and coordinate multiple projects while ensuring compliance with university policies.
- Work with administrative offices to update the department website when required.
- Handle purchases and bill payments for the department (P‑card, vouchers, reimbursements).
- Maintain finance documentation as required.
- Compose confidential correspondence, organize and file office documents, interpret policies, and order supplies.
- Build and maintain positive working relationships, communicate effectively, analyze problems, and make sound decisions.
- Bachelor’s degree or equivalent advanced learning attained through experience.
- One year of relevant work experience.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Experience managing multiple calendars and prioritizing projects.
- High degree of flexibility and attention to detail.
- Excellent data entry and organizational skills.
