Bilingual Administrative Assistant – Birth to Five Center of Excellence
We are seeking a bilingual (English/Spanish) Administrative Assistant for our Health and Developmental Services Department – Birth to Five Center of Excellence. This position is responsible for diverse administrative duties, including answering phones, providing customer service, responding to and following up on insurance billing questions, screening appropriateness of referrals, completing referral forms, checking in clients, and working with other Administrative Assistants to accomplish administrative duties within the program.
Other duties may include interpretation and translation, filing, database entry, copying, faxing, maintaining files, and other duties as assigned.

A primary responsibility of this position is to be the first point of contact for families with young children who are seeking services and to work with pediatrician offices and other community professionals referring for services. This role includes answering phones, providing customer service, responding to insurance billing questions, screening referrals, completing referral forms, checking in clients, providing interpretation and translation, filing, database entry, copying, faxing, and maintaining files.
Qualifications- HS/GED required.
- Previous experience as a receptionist and/or administrative assistant, 1 year, preferred.
- Familiarity with pediatric outpatient clinic settings and insurance billing processes preferred.
- Strong ability to prioritize tasks, work efficiently in a fast-paced environment, meet deadlines, and collaborate effectively as part of a team.
- Proficiency in Microsoft Office Suite and experience using database systems required.
- Willingness to learn Electronic Medical Record (EMR) software essential.
- Bilingual English/Spanish required.
- Valid Arizona Fingerprint Clearance Card preferred or must qualify for a valid Arizona Level One Fingerprint Clearance Card.
- Education:
High School or better in General Education or related field. - License &
Certifications:
CPR and First Aid Certificate, DES Criminal Affidavit, Fingerprint Card Level 1, FPC DPS Verification. - Preferred:
Auto Insurance Certificate, Driver License.
