The Clerk II provides clerical support to administrative personnel by greeting visitors and staff, directing inquiries, maintaining records, and providing requested information or referrals.
Essential Functions- Answer telephone system calls, screen, transfer, and record messages.
- Coordinate projects and program components such as meetings, Read Across America program, substitute coverage, and peer‑mediation schedules.
- Greet visitors, parents, students, vendors, and others; direct them to appropriate locations per security procedures.
- Input data into commercial and customized databases (attendance, scheduling, parking, transcripts) for accuracy.
- Maintain manual and electronic records (e.g., absence reports, counselor schedules) in accordance with guidelines and legal requirements.
- Perform general clerical tasks such as copying, faxing, data entry, and filing.
- Schedule activities (appointments, building use, bus and van usage) for administrators and supervisors.
- Distribute items within the site (mail, discipline notes, special deliveries, messages) to ensure receipt.
- Receive mail, special deliveries, packages, and supplies for distribution to appropriate parties.
- Maintain reception area materials to provide resource information to visitors.
- Perform other related duties as assigned to support the work unit.
Minimum Qualifications Skills, Knowledge, and Abilities
Skills (required): preparing and maintaining accurate records; operating standard office equipment; using relevant software; customer service; screening telephone calls.
Knowledge (required): basic math; understanding written procedures; writing routine documents; following written and oral instructions; business telephone etiquette; office practices; record‑keeping and retention practices.
Abilities (required): scheduling activities; gathering, collating, and classifying data; using basic job‑related equipment; working with diverse individuals; problem‑solving in data scenarios; maintaining confidentiality; adapting to changing priorities; communicating with diverse groups; displaying tact and courtesy; organizing tasks.
ResponsibilityWork under immediate supervision, provide information and/or advice, and collaborate with other work units as necessary to fulfill job functions.
Work EnvironmentPhysical demands: lifting, carrying, pushing, and/or pulling; stooping, kneeling, crouching, and/or crawling; fine finger dexterity. The job consists of approximately 85% sitting, 10% walking, 5% standing in a clean, healthy environment.
Experience and EducationExperience:
Job‑related experience required.
Education:
High school diploma or equivalent.
- Criminal Background Clearance.
- Valid Arizona DPS Level I IVP Fingerprint Clearance Card.
- Pre‑Employment Proficiency Tests:
Spelling, Mathematics, Filing & Typing.
