Role Description
Elevation Marketing is a 25‑year‑old independent data‑driven B2B marketing agency focused on driving marketing strategies for enterprise organizations.
We are looking for an Office Manager for a full‑time on‑site role with two work‑from‑home days a month or four half‑days, located in the greater Phoenix area.
Key Responsibilities- Create daily staff newsletter and update staff on office announcements.
- Coordinate events such as company events, parties, culture, and team building activities.
- Serve as the point of contact for property management company and related vendors.
- Manage PTO and Work‑from‑Home calendars.
- Decorate and celebrate birthdays and other holiday events.
- Provide low volume phone coverage and route calls to appropriate persons.
- Manage kitchen and lounge area including ordering supplies, frequent restocking, and events.
- Human Resources & Training:
- Help schedule interviews for job‑seeking candidates.
- Manage administrative onboarding procedures such as office tours, key/fob distribution, alarm codes, etc.
- Facilitate the on‑boarding two‑week program for new employees.
- Scheduling:
- Handle booking of executive meetings.
- Support the president with various business, operational and administrative tasks.
- Handle MSA and NDA agreements.
- Technology:
- Manage IT vendor on behalf of the agency.
- Use, adopt and manage AI tools.
- Set up new computers and manage computer inventory (passion for AI a big plus).
- Manage phone systems with third‑party vendors.
- Manage office equipment, printer issues, and related supplies.
- Special Projects & Programs:
- Manage the Lunch & Learn Program training components.
- Support the fun committee to organize culture‑building events.
- Handle holiday party decorations and purchase of employee gifts.
- Accounting & Reporting:
- Help the accounting manager with staff credit card reconciliation reports.
- Enter AR and perform general accounting functions.
- Create various reports used by the management and account services teams.
- Travel & Entertainment:
- Handle sports and entertainment ticket allocations for staff.
- Book and handle all hotel and flight travel requirements for staff and interview candidates.
- Ability to perform multiple job functions in a fast‑paced environment.
- 3–5+ years of experience working for a professional service firm such as legal, accounting, finance, marketing and/or advertising agency (preferred).
- Proficient with MS Outlook, Word, Excel, PowerPoint and other technologies.
- Enjoys learning or has experience with AI tools.
- Great judgment, professionalism, positive energy and curiosity about the agency, its people, processes, and clients.
- Thinker, operator, and capable of making independent decisions.
- Team player who represents the president and the agency with kindness and integrity.
- Works quickly while maintaining quality standards.
- Proactive, good listener, with diplomacy, flexibility and grace under pressure.
- Marketing or advertising agency experience a plus.
- Loves serving people and creating a positive work culture.
Salary range: $55,000–$62,500+ (depending on experience and skills). The position is located in Gilbert, AZ (just off Loop 202 expressway). Elevation pays for 95% of employees’ life, health and long‑term disability insurance, offers vision, dental and other benefit options, a free snack and beverage kitchen, and tuition reimbursement. Flexible hours are available within 7 AM–9 AM start and 4 PM–6 PM end. The office is closed between Christmas and New Years.
