Summary

The Office Assistant, Senior provides high-level clerical support, manages records, responds to inquiries, maintains equipment and supplies, and ensures confidentiality in accordance with campus policies and procedures.

Essential Functions
  • Performs a variety of clerical duties related to the assigned program, operating general office equipment.
  • Provides information regarding programs and procedures to students, parents, and the public according to prescribed procedures.
  • Maintains accurate records and filing systems; updates student and staff records, including evaluations, and other specialized records.
  • Greets visitors professionally; answers telephones and transfers calls as appropriate; assists students, parents, teachers, staff, and visitors.
  • Creates correspondence, writes and responds to emails, processes data entry, types letters, memorandums, reports, and other documents; completes and submits district forms.
  • Reviews and edits materials for accuracy, completeness, and compliance with district policies and procedures.
  • Maintains and purchases inventory and supplies; prepares and handles requisitions, processes receipt of products and supplies, and verifies budget codes for purchasing, accounts payable and payroll.
  • Schedules and coordinates meetings and events.
  • Supports the relationship between the Phoenix Union High School District and the public by demonstrating courteous and professional behavior when interacting with students, parents, visitors, and school staff; maintains absolute confidentiality of work‑related issues, client records, and school information; follows governing board policies.
Required Qualifications

Education, Training, and Experience Guidelines: High school diploma or GED equivalent and two years of general clerical experience.

License and Certification Requirements: Possess an active Arizona Department of Public Safety IVP Fingerprint Clearance Card or obtain one within the first 90 workdays of employment.

  • Ability to provide excellent customer experiences, interacting tactfully and courteously with the public.
  • Commitment to create and sustain a thriving learning and working environment for students and staff.
  • Ability to establish and maintain effective working relationships.
  • Ability to use initiative within organizational policies, procedures, and guidelines.
