Records Secretary

Duration: 10 months (7/7/2026 – 6/4/2027) – 8 hours per day, Grade 15, $16.48 per hour, Non-Interim Position,

Mercury Mine Elementary School.

Purpose Statement

The Records Secretary – Elementary provides support to the educational process by registering students, ensuring accurate attendance accounting, resolving attendance related issues, ensuring compliance with state reporting and documentation requirements, conveying attendance related information to appropriate parties, and providing general clerical support as assigned at the school site. This position reports to the Principal.

Essential Functions
  • Administers first aid and prescription medications to students under the direction of a health care professional.
  • Answers and initiates telephone calls, responds to inquiries, transfers calls, takes messages, and conveys information.
  • Attends department and/or in-service meetings to convey and gather necessary information.
  • Greets parents and students and directs individuals per established building security procedures.
  • Maintains a variety of manual and electronic documents, files, and records (student attendance, notification logs, student records, classified time sheets, etc.) for up-to-date information and historical reference in accordance with administrative guidelines and legal requirements.
  • Maintains automated student attendance system to ensure accurate tracking and documentation of student attendance.
  • Monitors students (bus duty, yard duty, students referred to the office, etc.) to ensure student welfare and maintain a secure office environment.
  • Notifies parents and/or guardians of student absences to meet district administrative requirements and mandated guidelines.
  • Obtains attendance records for student entry and exit during school hours (admission slips, late notices, class release forms, etc.) to ensure accurate reporting of excused absences and truancies.
  • Performs student enrollment and withdrawal activities (preparing registration packets, ensuring all forms are accurate and complete, scheduling new students, etc.) in compliance with established guidelines.
  • Performs general office duties (copying, faxing, data entry, filing, etc.) to support office functions.
  • Prepares attendance-related reports and written materials (standardized/special reports, letters to parents, passes for students, incoming calls on attendance slips, etc.) to convey information regarding school and/or district activities and procedures.
  • Processes documents and materials (report discrepancies, status changes, absence verifications, student records, etc.) to disseminate information in compliance with established administrative guidelines.
  • Researches discrepancies in attendance information and documentation to ensure accuracy.
  • Responds to questions from staff, parents, other schools, students, etc., providing information and directions as required.
Other Functions

Performs other related duties as assigned to ensure efficient and effective functioning of the work unit.

Job Requirements:

Minimum Qualifications Skills

Operating standard office equipment and pertinent software applications; preparing and maintaining accurate records.

Knowledge
  • Basic mathematics, including fractions, percents, and/or ratios.
  • Reading a variety of manuals and writing documents following prescribed formats.
  • Understanding complex, multi-step written and oral instructions.
  • Codes, regulations, and laws related to student attendance and registration.
  • Business telephone etiquette.
Abilities

Planning and scheduling activities; gathering and collating data; using basic job-related equipment. Flexibility to work with others, handle frequent interruptions, and set priorities under minimal supervision. Ability to maintain confidentiality, read, write, and communicate clearly in English. Establish and maintain effective working relationships with students, parents, employees, and community.

Responsibilities
