Non-Interim Position

Position Type: 0.5 FTE

Purpose Statement

To greet and direct visitors, respond to inquiries from staff, the public, parents, students, and provide clerical support to administrative personnel, and provide requested information and/or referral to other parties.

Essential Functions
  • Answer telephone system for screening calls, transferring calls, responding to inquiries, and/or taking and emailing messages.
  • Coordinate projects, functions and program components such as meetings, Read Across America program, substitute coverage, peer mediation schedules, etc., to complete activities and deliver services on time.
  • Greets individuals entering the building and directs them per security procedures.
  • Input data into commercial and customized databases (attendance, scheduling, employee parking, transcripts). Ensure accuracy of data.
  • Maintain a wide variety of manual and electronic document files and records (absence reports, counselor schedules, etc.) providing up‑to‑date information and historical reference per guidelines.
  • Perform general clerical functions such as copying, faxing, data entry, filing to support office operations.
  • Schedule activities (appointments, building use, bus/van usage) for assigned administrators and supervisors.
  • Distribute items within the site (mail, discipline notes, special delivery and overnight mail/packages, messages).
  • Receive items (mail, special deliveries, packages, supplies) for distribution to appropriate parties.
Other Functions
  • Maintain reception area materials to provide resource information to visitors.
  • Perform other related duties as assigned to ensure efficient and effective functioning of the work unit.
Job Requirements:

Minimum Qualifications Skills, Knowledge & Abilities
  • Prepare and maintain accurate records.
  • Operate standard office equipment.
  • Utilize pertinent software applications.
  • Provide customer service and screen telephone calls.
  • Perform basic math, understand written procedures, write routine documents and speak clearly.
  • Business telephone etiquette, office practices, record keeping and retention practices.
  • Schedule activities and meetings, gather, collate, classify data, and use basic job‑related equipment.
  • Work flexibly with others under varying circumstances, utilizing specific processes and defined equipment methods.
  • Adapt to changing priorities, work with frequent interruptions, communicate with diverse groups, maintain confidentiality, display tact and courtesy, and organize tasks.
Responsibilities

Work under immediate supervision, provide information and/or advise others, and utilize resources from other work units as necessary to perform the function of the role.

Work Environment & Physical Demands

Requires some lifting, carrying, pushing, pulling, stooping, kneeling, crouching, crawling, fine finger dexterity. Generally 85% sitting, 10% walking, 5% standing. Work in a clean and healthy environment.

Experience & Education

Job‑related experience required.

High school diploma or equivalent.

Clearances

Criminal Background Clearance.

Valid Arizona DPS Level I IVP Fingerprint Clearance Card.
