Administrative Clerk-HSE

This is a fulltime job working 40 hours a week. No per diem and no relocation assistance.

The Industrial Administrative Clerk - HSE provides administrative and clerical support within an industrial or manufacturing environment. This role is responsible for maintaining accurate records, coordinating communication, supporting operations teams, and ensuring smooth day-to-day administrative functions in support of production, maintenance, and site management activities.

Key Responsibilities

  • Administrative Support
    • Perform general clerical duties including data entry, filing, document control, and correspondence.
    • Prepare reports, spreadsheets, and presentations as needed for operations and management teams.
    • Maintain organized physical and electronic filing systems.
  • Document & Records Management
    • Track and manage work orders, purchase orders, invoices, and delivery receipts.
    • Ensure compliance with company policies and industry regulations for document retention.
    • Update databases and systems with accurate, timely information.
  • Operations Coordination
    • Assist in scheduling maintenance activities, workforce assignments, and project timelines.
    • Coordinate with supervisors, vendors, and contractors to facilitate workflow.
    • Monitor inventory levels and assist with ordering office or operational supplies.
  • Communication
    • Serve as a point of contact for internal departments and external partners.
    • Answer phones, respond to emails, and route inquiries appropriately.
    • Support meetings by preparing agendas, taking minutes, and tracking action items.
  • Compliance & Safety Support
    • Maintain safety records, training logs, and compliance documentation.
    • Assist in preparing reports related to audits or inspections.

Qualifications

  • High school diploma or GED required; associate degree preferred.
  • 1–3 years of administrative or clerical experience, preferably in an industrial, manufacturing, or construction environment.
  • Strong proficiency in Microsoft Office (Excel, Word, Outlook); experience with ERP systems is a plus.
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Effective written and verbal communication skills.

Working Conditions

  • Work is performed in an office setting within or adjacent to an industrial or plant environment.
  • May require occasional exposure to noise, PPE requirements, or site safety protocols.
