Job Summary
Austin Industrial, an employee‑owned company, is seeking an Industrial Administrative Clerk – HSE to provide clerical and administrative support in an industrial or manufacturing environment. This full‑time position requires 40 hours per week, is located on‑site, and offers a rate of $30 USD per hour.
Applicants must be legally authorized to work in the United States; sponsorship of employment visas is not available.
Key Responsibilities- Administrative Support
- Perform general clerical duties including data entry, filing, document control, and correspondence.
- Prepare reports, spreadsheets, and presentations for operations and management.
- Maintain organized physical and electronic filing systems.
- Document & Records Management
- Track and manage work orders, purchase orders, invoices, and delivery receipts.
- Ensure compliance with company policies and industry regulations for document retention.
- Update databases and systems with accurate, timely information.
- Operations Coordination
- Assist in scheduling maintenance activities, workforce assignments, and project timelines.
- Coordinate with supervisors, vendors, and contractors to facilitate workflow.
- Monitor inventory levels and assist with ordering office or operational supplies.
- Communication
- Serve as a point of contact for internal departments and external partners.
- Answer phones, respond to emails, and route inquiries appropriately.
- Support meetings by preparing agendas, taking minutes, and tracking action items.
- Compliance & Safety Support
- Maintain safety records, training logs, and compliance documentation.
- Assist in preparing reports related to audits or inspections.
- 1–3 years of administrative or clerical experience, preferably in an industrial, manufacturing, or construction environment.
- Strong proficiency in Microsoft Office (Excel, Word, Outlook); experience with ERP systems is a plus.
- Excellent organizational and time‑management skills.
- Strong attention to detail and accuracy.
- Effective written and verbal communication skills.
- Valid driver’s license.
- Work performed in an office setting within or adjacent to an industrial or plant environment.
- May require occasional exposure to noise, PPE, or site safety protocols.
- Standard working hours with potential for overtime depending on operational needs.
- Organization and multitasking, problem‑solving, team collaboration, adaptability in a fast‑paced environment.
- Ability to sit for extended periods while working on a computer.
- Occasional walking in plant or warehouse environments.
- Ability to lift up to 20 pounds (files, office supplies).
Must pass pre‑employment physical, drug screen, and background check as a condition of employment.
