Position Overview
Administrative Assistant to the Chief U.S. Probation Officer – Phoenix, Arizona.
Position Type:
Full Time, Regular
Salary Range: $56,876 - $65,173 (based on qualifications & experience)
Job Grade: CL26 (Full Salary Range $56,876 - $92,435)

- Assist with planning, organizing, and executing all aspects of meetings, conferences, and other events hosted by the office, including space reservations, agendas, event setup, AV arrangements, procurement, and other logistics. Create minutes for meetings.
- Prepare correspondence, presentations, spreadsheets, reports, forms, mailings, or other documents independently and accurately, ensuring timely completion.
- Arrange travel itineraries and necessary accommodations for the Chief U.S. Probation Officer and other executive management team members, including airfare, lodging, registration, and related events.
- Act as a delegate to obligate funds and process reimbursements for executive personnel.
- Maintain the Chief’s calendar using discretion to ensure smooth scheduling and coordinate schedule changes as needed.
- Oversee maintenance of internal and external office websites, including content management and quality assurance.
- Collaborate with Human Resources on hiring and promotions: edit announcements, coordinate panels, schedule interview availability, and manage supervisor feedback and scoring sheets.
- Oversee annual law enforcement officer badge and credential sighting processes.
- Manage Citibank payments for executive approval.
- Develop standard office procedures and policies.
- Work closely with all court unit executives and the executive management team.
- Participate in special projects as needed.
- Manage parking and office assignments for the office.
- Perform other duties as assigned.
- High school graduate or equivalent, with two years of general experience.
- At least one year of specialized experience at CL 25 or equivalent, involving clerical or administrative work that demonstrates knowledge of rules, regulations, procedures, and use of automated case management systems.
- Highly organized, good judgment, initiative, professional appearance, and demeanor.
- Strong time‑management skills, accuracy, attention to detail, and ability to balance varying workload demands and deadlines.
- Experience as an executive assistant.
- Familiarity with Adobe and Microsoft Office Suite (Word, Excel) and Microsoft Outlook.
