Job SummaryWe are hiring a Program Coordinator to support our HUG Clinic and SaPHE Lab. This role requires an organized, collaborative professional who is passionate about healthcare education, community service, and program development. The Coordinator will ensure effective operations, exceptional student experiences, and meaningful community engagement by coordinating daily operations, administrative functions, student experiences, and community engagement activities that support the HUG Clinic and SaPHE Lab.
EssentialFunctions
30% – Coordinate day‑to‑day HUG Clinic and SaPHE Lab operations. Duties include scheduling, front desk workflow, communication, inventory management, and issue resolution. The coordinator manages patient check‑in/check‑out, monitors the clinic’s email inbox, schedules lab reservations, maintains accurate documentation in electronic medical records and scheduling systems, resolves scheduling conflicts, manages supply inventory, oversees routine maintenance, and coordinates internal communication with clinical directors and external partners.
15% – Lead and supervise staff. Plans, assigns, reviews, and evaluates staff work. Oversees onboarding of incoming students, schedules student observations, assigns administrative duties to temporary workers or work‑study students, and assists with semester schedule development for patients, clinicians, and students.
15% – Develop new programs and workflows. Supports the creation of new processes to enhance operational efficiency and service quality. Provides feedback and recommendations for program improvements, ensures compliance with MCCCD and state regulations, and creates flyers, documents, and marketing materials for distribution.
15% – Maintain program records and documentation. Organizes and updates manuals, maintains patient records, inventories equipment, coordinates medical equipment service checks, and facilitates communication between HUG clinicians and referring physicians.
15% – Serve as program liaison. Provides procedural coordination and support, assists with training for temporary staff, students, volunteers, and the public, ensures daily tasks are completed promptly, and serves as onsite liaison for mobile clinic events and community events.
10% – Conduct research and analysis. Gathers, compiles, analyzes, and summarizes data related to program assignments, prepares reports for facilitators and administrators, assists with research on equipment bids and vendor proposals, and performs other duties as assigned.
Minimum QualificationsBachelor’s Degree from a regionally accredited institution in education, business, public administration, or a directly related field and one (1) year of experience in researching information, gathering data, performing preliminary analysis, and preparing reports.
OR an equivalent combination of the degree and related full‑time work experience sufficient to perform the essential duties.
Desired Qualifications- Bilingual (spoken and/or written) in English and Spanish preferred
- Experience providing customer service in a professional office, healthcare, or administrative setting
- Experience using electronic medical records (EMR) systems and/or scheduling software in a healthcare or clinical setting
- Two or more years of experience in a healthcare, clinical, or community health setting
- One (1) year full‑time relevant MCCCD experience during the previous two (2) years (internal candidates only)
- Required to travel or be assigned to all Gate Way locations
- Required to travel to off‑site locations based on operational needs
- May require some evenings or weekends
