Temporary Public Records Specialist

The Information Governance Department of Maricopa County is seeking a highly motivated, organized, and detail-oriented individual to fill the Temporary Public Records Specialist position. As a key member of our team, you will play a pivotal role in receiving, managing, organizing, responding, and facilitating the retrieval of public records, contributing to the foundation of accountable and responsible government. We Require:

  • Three years responsible clerical and/or administrative experience
  • High school diploma or GED
  • A combination of post-secondary education and/or job-related experience may substitute for the minimum qualifications on a year-for-year basis.

We Also Value:

  • Associate's degree
  • Advanced proficiency with Microsoft Office (Word, Excel, Outlook)
  • Experience in public records processing in accordance with AZ State Statutes
  • Strong organizational and analytical skills with exceptional attention to detail
  • Experience in researching and retrieving records in OnBase or other records management software
  • Excellent written and verbal communication skills and the ability to collaborate across departments

Job Contributions:

  • Receives and processes public record requests in a timely manner
  • Reviews the requested documents to determine applicability and relevance to the request
  • Collaborates with different departments to gather, organize, and maintain accurate records
  • Ensures compliance with state and federal regulations regarding public records, including retention schedules and confidentiality requirements
  • Communicates with departmental representatives to ensure the availability of requested records
  • Maintains an up-to-date and organized electronic database of public record requests
  • Implements and utilizes records management software to enhance efficiency
  • Stays informed about changes in laws and regulations related to public records
  • Ensures that public records practices align with legal requirements and standards
  • Assists with providing training sessions to staff on public records management best practices
  • Advises executive staff on high-profile issues related to public records requests
  • Other Job Duties as assigned

Working Conditions:

  • Exerting up to 20 lbs. occasionally, 10 lbs. frequently, or negligible amounts constantly
  • Requires walking or standing to a significant degree
  • Position is typically office or administrative work and is not substantially exposed to adverse environmental conditions
